Context


For one of our client we are looking for a Synergi Life Support Specialist.

Synergi Life is the organisation-wide Safety, Health and Environmental (SHE) management platform, used across the business for incident management, audit management, dashboards, and reporting. The system requires ongoing product ownership, vendor coordination, environment management, testing, governance, user support, communications, and training to remain effective as a tool for Group Safety.

The current delivery model concentrates all of these responsibilities with a single Product Owner — creating a dependency risk that limits the capacity available for planned improvements and creates risk of delays across testing, stakeholder engagement, business analysis, documentation, change support, and the annual upgrade cycle.


Role


This role provides temporary delivery capacity to create resilience: the Product Owner retains ownership of key decisions, risks, and approvals while practical delivery tasks are progressed in parallel by the Synergi Life Support Specialist.

The role does not require deep technical expertise in Synergi Life. It requires a practical, organised, and proactive individual who can absorb a new platform quickly, produce high-quality written content and guidance materials, engage a wide range of stakeholders from end-users to SHE Managers, and drive delivery with minimal supervision.


Responsibilities


Backlog and delivery support

  • Assist the Product Owner in managing and progressing the Synergi Life delivery backlog — tracking items, following up on actions, coordinating with relevant stakeholders to remove blockers, and maintaining delivery records
  • Support the delivery of the annual Synergi Life upgrade cycle where appropriate — coordinating testing activities, stakeholder communications, and documentation across the upgrade process
  • Maintain key governance records — ensuring that delivery governance documentation, decision logs, and approval records are kept current and accessible


Adoption analysis and improvement

  • Work with the Product Owner to analyse Synergi Life system usage trends — using available data and platform insights to identify low-adoption areas, under-used functionality, and opportunities for measurable improvement
  • Propose and help implement practical approaches to drive improved adoption across business units — targeting specific user groups, process steps, or functionality areas where usage data indicates a gap


Governance and communications

  • Develop guides and communications to align business units on a redefined Synergi Life governance model — translating governance decisions into clear, accessible documentation for a range of audiences
  • Create a roadmap for monthly communications covering different Synergi Life topics — then develop and deliver the communication material for each drop, building progressively on previous content so that users receive a coherent and cumulative learning programme


Champion Network

  • Re-engage and strengthen the Synergi Life Champion Network — this involves agreeing a revised Champion structure with key stakeholders, creating Champion role descriptions and practical guidance materials, and developing manager guidance on the value and operational role of Champions
  • Build a sustainable Champion Network that can extend the reach of Synergi Life support beyond the central team — reducing dependency on the Product Owner for routine user queries and first-line support


Training and learning content

  • Review existing Synergi Life training materials and adapt them where required — ensuring content reflects current system functionality, updated governance, and revised processes
  • Enhance and create new learning content for the platform's key functional areas: Incident Management, Audit Management, Dashboards, and Reporting
  • Produce practical, accessible learning resources in a range of formats: training videos, step-by-step user guides, and quick-reference materials suitable for users with varying levels of system familiarity
  • Develop communications and learning material calibrated for different audience levels — from SHE Managers and other line managers who need a strategic understanding of the tool, through to operational end-users who need clear task-level guidance


Requirements


Must have

  • Excellent written communication skills — demonstrated experience producing user guidance documents, management briefings, and learning content to a professional standard. Writing quality is central to this role: the Specialist will produce materials that will be used across the organisation.
  • Strong stakeholder coordination skills — able to manage multiple competing priorities, follow actions through to completion, and maintain clear communication with stakeholders at different levels of the organisation without losing track of the delivery thread
  • Proactive and self-directed working style — able to identify what needs to be done, take practical action without waiting for direction, and escalate material issues to the Product Owner at the right time and with the right level of information
  • High attention to detail and a structured approach to delivery, governance, and information handling — the role involves maintaining governance records and producing materials that will be referenced by others; accuracy and consistency matter
  • Competence in Microsoft 365 — Word, Excel, PowerPoint, Teams, and SharePoint as core working tools. The role involves managing documents and communications through these platforms daily.
  • Experience or knowledge of working with systems and data — not deep technical expertise, but sufficient comfort with a software platform (SaaS, ERP, or similar) to absorb Synergi Life quickly and engage credibly with usage data and platform behaviour


Nice to have

  • Change management experience — the adoption and Champion Network tracks involve driving behavioural change across a large organisation. Familiarity with change management approaches (structured communication, stakeholder engagement, resistance management) is a clear differentiator
  • Prior experience with safety management systems (Synergi Life, Intelex, Enablon, or similar) — not required, but significantly reduces the onboarding curve
  • Experience producing video-based learning content — the role includes creating training videos; prior experience with screen recording or instructional video production tools is an asset


Qualifications and compliance

  • Legal permission to work in the Republic of Ireland — mandatory. Candidates without the right to work in Ireland cannot be submitted.
  • Full EU/EEA driving licence, valid in Ireland (unaccompanied)
  • SafePass (Irish HSA Safety Awareness card) — up to date or willing to obtain before mobilisation. Required for access to client sites.
  • Manual Handling training — up to date or willing to obtain before mobilisation.
  • Own phone, laptop/PC, and internet access — the contractor must be self-equipped for remote and hybrid working.
