Description

The System Implementation Coordinator is a PRN position that supports the planning, setup, testing, and rollout of clinical and business systems across CUC America. The position works with operations, clinical staff, revenue cycle teams, IT, and vendors to translate operational needs into practical workflows and prepare staff to use new systems effectively.

The role provides hands-on implementation support for electronic medical records, practice management, imaging, reporting, and related technology. Responsibilities extend from requirements gathering through go-live and stabilization, with priorities and project scope established by the reporting leader.

Requirements

Essential Responsibilities

Implementation Planning and Coordination

· Maintain implementation work plans, task owners, milestones, dependencies, and readiness checklists for assigned systems and locations.

· Coordinate vendor meetings and internal work sessions; document decisions, follow up on commitments, and escalate delays or unresolved issues.

· Provide regular status updates identifying completed work, upcoming activities, risks, and decisions needed from leadership.

System Setup and Workflow Development

· Gather requirements from clinical, administrative, and billing teams; document current workflows and proposed changes for approval.

· Support approved system configuration, including provider and location records, scheduling templates, forms, user roles, and documentation workflows.

· Develop standard operating procedures and workflow guides that connect system use with day-to-day clinic and office-based laboratory operations.

Testing and Data Validation

· Develop and execute test scenarios covering registration, scheduling, clinical documentation, results, charge capture, and reporting, as applicable.

· Coordinate data conversion and interface testing with IT and vendors; validate sample records and track discrepancies through resolution.

· Maintain an issue log, retest corrections, and document test results and outstanding items for the responsible owners to review before launch.

Training and Go Live Support

· Coordinate role-specific training and prepare user guides, quick reference materials, and training completion records.

· Support readiness assessments and cutover planning, including user access, support contacts, downtime procedures, and open issue review.

· Provide go-live support, troubleshoot workflow and user issues within assigned access, and route technical issues to IT or vendors.

· Track post-launch issues and adoption needs; coordinate the transition to routine operational and technical support.

Reporting and Process Improvement

· Document reporting requirements and approved metric definitions; validate report and dashboard outputs against source records.

· Identify workflow gaps affecting documentation, charge capture, billing handoffs, or data quality and coordinate approved corrections with process owners.

· Maintain project documentation, configuration records, and lessons learned to support consistent implementation at future locations.

Qualifications

Required

· Associate or bachelor’s degree in healthcare administration, health information technology, information systems, business, or a related field, or equivalent relevant experience.

· At least two years of experience supporting healthcare system implementations, application support, clinical informatics, or healthcare operations involving system changes. Proposed minimum for confirmation.

· Experience documenting workflows, coordinating project tasks, testing system functionality, and supporting or training end users.

· Working knowledge of clinical and administrative workflows, including scheduling, documentation, and charge capture; ability to identify and escalate workflow risks.

· Strong organization, written communication, troubleshooting, and follow-through; ability to manage concurrent priorities and work effectively with vendors and staff.

Preferred

· Experience with electronic medical records, practice management systems, imaging systems, revenue cycle applications, or reporting tools in specialty practices or office-based laboratories.

· Clinical background, healthcare informatics training, or a project management certification. RN licensure and graduate degrees are not proposed as minimum requirements for this implementation role.
