SUMMARY & SCOPE: The Talent Operations Specialist plays a vital role in supporting the efficiency and effectiveness of the recruiting team by managing operational processes, ensuring data integrity, and enhancing workflow optimization. This position involves overseeing applicant tracking systems, coordinating interviews, facilitating preboarding activities, and collaborating with cross-functional teams to streamline operations.


RESPONSIBILITIES:

  • Provide strategic support to recruiting and sales teams, enhancing overall efficiency and effectiveness.
  • Oversee and maintain applicant tracking systems (ATS/CRM), ensuring data accuracy and integrity.
  • Develop and manage reports, track hiring metrics, and oversee the distribution of satisfaction surveys.
  • Identify, implement, and refine process improvements to optimize workflow and operational efficiency.
  • Plan, coordinate, and manage hiring conferences and other recruitment-related events.
  • Schedule and facilitate internal meetings and stakeholder engagements.
  • Arrange and coordinate travel logistics for internal teams and external partners.
  • Manage job requisition creation, job board postings, and intake scheduling.
  • Streamline communication, application processes, and interview scheduling to ensure an efficient and positive candidate experience.
  • Oversee all preboarding activities, including offer letter administration, pre-employment screening, and required assessments.
  • Ensure data integrity by proactively managing and resolving system errors.
  • Collaborate cross-functionally with recruiting, sales, finance, marketing, and leadership teams to align objectives and streamline operations.
  • Serve as a key point of contact for candidates, clients, vendors, and other stakeholders, fostering strong professional relationships.
  • Engage in continuous training with other Talent Operations Specialists to maintain proficiency across all aspects of the role.
Requirements

QUALIFICATIONS:

  • Minimum of 2 years of administrative, HR, or office management experience; Bachelor’s degree preferred.
  • Proficiency in Microsoft Office Suite and Applicant Tracking Systems
  • Strong communication, organizational, and customer service skills.
  • Proven ability to manage projects, prioritize tasks, and adapt in fast-paced environments.
  • Experience collaborating across multiple departments and working remotely.
  • Detail-oriented with the ability to define, document, and analyze business requirements.
  • Self-motivated, results-driven, and capable of leading initiatives effectively.
  • The ideal candidate excels both independently, requiring minimal guidance, and as a collaborative team player who prioritizes shared success.

WORKING CONDITIONS: The Talent Operations Specialist will work in a remote office environment.


PHYSICAL REQUIRMENTS:

  • Prolonged periods of sitting at a desk and working on a computer
  • Use hands/fingers for fine manipulation/typing
