About the role:
At Vantage, the Talent Specialist is part of the Talent (Human Resources) team. This role will provide hands-on Human Resources support across Talent Acquisition, Onboarding, Total Rewards, HR Systems and Reporting, and Talent Operations. The Talent Specialist will independently manage day-to-day HR activities, support core HR processes, maintain accurate information, respond to colleague and candidate inquiries, and contribute to a positive colleague experience. This role reports to the Vice President, Total Rewards and Talent Operations and will partner closely with Talent Partners and other members of the Talent team. This is a remote and/or hybrid opportunity based in a US Vantage office. Vantage’s US colleagues have the flexibility to work anywhere in the United States (excluding US territories and possessions).
The base salary expectation for this role is between $90,000 and $110,000. Actual base salary for the selected candidate may be higher commensurate with candidate experience and expectations. Responsibilities & Accountabilities:
- Talent Acquisition
- Support recruitment activities for assigned roles, including job postings, candidate scheduling, interview coordination, candidate communication, and basic applicant tracking system updates.
- Help maintain staffing plan documents and recruiting trackers so stakeholders have timely and accurate updates on role status.
- Assist with basic recruiting reports, dashboards, and candidate pipeline updates.
- Maintain accurate candidate and requisition data in the applicant tracking system and help document standard recruiting processes.
- Onboarding
- Serve as a welcoming point of contact for new colleagues during pre-hire and their initial weeks at Vantage, escalating questions as needed.
- Support new hire orientation logistics, materials, calendar coordination, and follow-up activities.
- Assist managers and Talent team members with onboarding checklists, reminders, and new hire experience tracking.
- Provide responsive and professional customer service to new colleagues throughout the onboarding process.
- Coordinate pre-hire and new hire activities such as background checks, employment eligibility documentation, benefits enrollment reminders, and new hire paperwork submission.
- Identify opportunities to improve onboarding materials, checklists, and process documentation in partnership with the Talent team.
- Total Rewards
- Assist with maintaining compensation, benefits, and reward process documentation.
- Respond to routine colleague questions related to benefits and total rewards, escalating more complex matters as appropriate.
- Provide administrative support for annual reward and benefits processes, including data preparation, file organization, and communication tracking.
- HR Systems & Reporting
- Support routine data entry, data validation, and record maintenance in the company's Human Capital Management (HCM) system, Dayforce.
- Assist with basic end-user troubleshooting and route more complex system questions to the appropriate Talent team member or vendor contact.
- Help test, document, and communicate updates to HR system processes and Talent team workflows.
- Prepare routine HR reports, trackers, and summaries to support the Talent team and management.
- Talent Operations
- Provide first-level support for routine colleague questions related to payroll, benefits, compensation, HR systems, and Talent processes, escalating complex matters appropriately.
- Assist with coordinating information requests and follow-ups with payroll, benefits, and HR service providers.
- Serve as the primary point of contact for managing colleague leaves of absence with Vantage’s third-party leave services administrator, working with colleagues and the administrator to coordinate leave requests, documentation, status updates, and return-to-work follow-up.
- Maintain Talent Operations trackers, process documentation, and colleague communication logs.
- Support process improvement efforts by documenting current processes, identifying pain points, and helping implement practical updates.
- Provide project and administrative support to Talent Partners (HR Business Partners) as assigned, including meeting coordination, training support, document preparation, data gathering, and follow-up tracking.

Ideal Candidate Profile:
- Bachelor’s degree or at least 5 years of strong tactical HR experience in lieu of a degree required.
- Minimum of 2 years of relevant Human Resources experience required, including experience in recruiting, onboarding, HR operations, colleague support, or related HR functions.
- Prior strong full-cycle recruitment experience, including requisition intake, sourcing or pipeline management, interview coordination, candidate communication, offer support, and applicant tracking system updates, is preferred.
- Strong interest in building a career in Human Resources and developing knowledge across recruiting, onboarding, total rewards, HR systems, and talent operations.
- Comfort learning and using HR technology systems; experience with Dayforce or an applicant tracking system is helpful but not required.
- Excellent written and verbal communication skills.
- Interest in documenting processes, improving workflows, and learning how HR operations support the colleague experience.
- Strong organizational skills with the ability to manage multiple tasks, follow through on deadlines, and ask for guidance when priorities need clarification.
- Customer service mindset with the ability to communicate professionally, protect confidential information, and escalate questions appropriately.
- Working knowledge of Microsoft Office, including Outlook, Word, PowerPoint, and Excel; willingness to build stronger Excel and reporting skills over time.
- Preference for candidates willing to work a hybrid schedule from one of the following Vantage office hubs; Norwalk, CT, New York, NY or Chicago, IL.
- Occasional travel as necessary.
- Ability to process and adapt to change in a rapid growth new-company environment. Vantage associates are expected to be curious, thrifty, and resourceful to manage through the unknowns of growing a specialty (re)insurance business from the ground up.
