We are looking for a Team Assistant to join our Business Infrastructure & Operations team, supporting our GB and Ireland Advisory team based in our Athens office. In this role, you will support and facilitate the end-to-end contract and client engagement lifecycle, taking a won piece of client work through to a live, contracted and correctly billed project.

You will play a key role in all aspects of contract and project administration, working closely with Aurora’s Legal and Finance teams along with senior members of the GB and Ireland Advisory team, acting as a central point of contact for contract coordination, project setup, record keeping and reporting.

The ideal candidate will enjoy project coordination, organisation, managing multiple priorities, and will be a proactive self-starter who is comfortable working with detail, systems and numbers. This position would suit someone with experience in contract administration, project coordination, commercial operations or business support.

You will be part of a global community of Team Assistants within Business Infrastructure & Operations who support our Advisory business across Europe, the Americas and Asia-Pacific, and who provide cover for one another during periods of leave and peak workload. Developing a deep understanding of our processes and systems, including how they work in other markets, is an important part of the role and the best way to build a full picture of our Advisory business.

Reliability and adaptability are essential for success in this role, along with the ability to work independently and remain flexible when managing a variety of tasks with changing deadlines and priorities. As our systems and processes continue to develop, you will have the opportunity to help shape and improve how the role works.

You will need to be comfortable working closely with colleagues and clients in the UK and Ireland, and aligning your working day with UK hours where the role requires it.

Key Responsibilities

  • Preparing client contracts for the GB and Ireland Advisory team from Aurora’s approved templates, including frameworks, supplements, amendments and reliance letters
  • Working alongside Aurora’s Legal team to ensure the contract process is followed and executed appropriately, from first draft through to negotiation and countersignature to filing
  • Acting as a key point of contact in the contracting process, regularly liaising with clients, external counsel, Legal, Commercial, Finance and the wider company
  • Supporting terms and conditions negotiations by managing correspondence and tracking revisions, working with Legal on the legal position and referring commercial decisions to the Market Lead
  • Owning client contract folder management, keeping complete and accessible records of contracts, supplements, letters, purchase order information and amendments
  • Acting as the regional liaison between Project Managers and Finance on project setup, billing, purchase orders and invoice queries, and supporting the end of month revenue reconciliation cycle
  • Managing internal processes for project coordination and invoicing and supporting efforts to keep relevant data and systems accurate such as Salesforce and Microsoft Dynamics
  • Ensuring generation and analysis of accurate contract and project management information consistent with reporting requirements, and producing regular reports for the GB and Ireland Advisory Management team as required
  • Maintaining records of team allocation across live engagements, and flagging conflicts or gaps
  • Providing cover for Team Assistants supporting other Advisory markets during periods of leave and peak workload, and keeping records and process documentation up to date so that work can be handed over easily
  • Identifying opportunities to improve business processes and devising plans to implement these changes, including making effective use of Aurora’s approved AI tools

What we are looking for

Required attributes:
  • Excellent interpersonal skills with ability to build relationships at all levels
  • Demonstrable experience in contract administration, project coordination, commercial operations or business support, ideally within professional services
  • A solid understanding of contracts, contractual language and the contract lifecycle, or the aptitude to build it quickly
  • Exceptional attention to detail, and talent for accuracy and precision
  • A self-starter, with a positive, can-do attitude, able to juggle a variety of tasks at any one time and able to plan ahead
  • Confidence working with systems and financial information such as invoices, billing milestones and revenue data
  • Sound judgement on what to resolve independently and when to involve Legal or Advisory leadership
  • A genuine appetite for learning processes and systems in depth, in order to support and cover other Advisory markets
  • Strong team player; supports colleagues and shares knowledge
  • Strong ability to communicate clearly and professionally with both internal colleagues and clients, while consistently maintaining confidentiality
  • Adaptable in a fast-moving environment, and open to new processes and tools including AI
  • Excellent MS Office skills
  • Fluent in English
Desirable attributes:
  • Previous experience working within a legal, contract management or project management department
  • Proven experience working for a fast-growing professional services business or in a sales/client-facing environment
  • Experience with CRM and ERP systems, such as Salesforce, Microsoft Dynamics or other platforms
  • Experience of a monthly financial close, revenue recognition or invoicing cycle
  • Proven work experience supporting teams across multiple markets and time zones
  • Experience of an ERP implementation or other systems transformation
