Summary of the Role

The Tech Administrative Coordinator supports the Tech Director and partners with Novo’s Technology Team to help manage daily administrative operations across its core tech stack. The Coordinator must be dependable, organized, and tech-proficient



This remote, part-time temporary position runs from October 1, 2026, through June 30, 2027, for approximately 10 hours per week. While schedule timing offers flexibility, hours will primarily be distributed across Tuesday, Wednesday, and Thursday to handle incoming ticket flow, administrative coordination, and systems maintenance.



    Key Responsibilities



    • Help Desk & User Support (Freshdesk)
      • Monitor and triage the incoming ticket queue in Freshdesk.
      • Directly resolve first-tier, routine support requests (e.g., standard access issues, basic how-to guidance).
      • Route and escalate complex technical issues to the appropriate team members or specialists.
      • Maintain clean ticket statuses, track recurring issues, and help update standard response templates.
    • Identity & System Administration
      • Provision, update, and offboard user accounts and group memberships within Google Workspace.
      • Provision, update, and offboard user accounts in Zoom.
      • Perform basic administrative maintenance and permission checks for the organization's Intranet.
    • Intranet Content & Documentation
      • Perform content updates and maintenance across the organization's Intranet.
      • Assist in keeping internal technology documentation, how-to guides, and standard operating procedures (SOPs) current.
    • Tech Stack Billing & Operations
      • Oversee invoicing, subscription renewals, and billing records for tools and software across the Novo tech stack.
      • Match and track monthly software expenses, reconcile receipts, and liaise with the finance/accounting department for timely processing.
      • Maintain an organized inventory of active software licenses, seats, and contract renewal dates.
    • Team Coordination & Administrative Support
      • Coordinate schedule needs, meetings, and follow-ups in collaboration with the Director of Technology.
      • Help track project milestones, task lists, and administrative action items across the technology department.


    Qualifications and Skills:

    • Experience in an administrative assistant, operations, or technical support coordination role, or a similar position with transferable skills.
    • Ability to learn and understand a ticketing or help desk platform (experience with Freshdesk is a plus).
    • Ability to learn and understand basic user administration in Google Workspace (Admin Console).
    • Comfort maintaining intranet platforms.
    • Highly organized with financial and operational details, especially regarding vendor invoices, recurring SaaS subscriptions, and receipts.
    • Strong written communication skills, with an ability to communicate technical instructions clearly and empathetically to staff.
    • Reliable self-starter capable of managing a 10-hour weekly workload independently in a remote setting.

    Work Environment & Schedule

    • Fully remote; open to candidates located anywhere in the United States.
    • Requires a reliable high-speed internet connection.
    • Novo provides a Macintosh workstation.
    • Work is concentrated primarily across Tuesday through Thursday, with flexible hour distribution and occasional scheduled touchpoints during Pacific Time core hours.


    Physical Demands

    While performing the duties of this job, the employee is frequently required to sit, talk and hear. This job is sedentary, requiring the ability to sit most of the time. The ability to speak clearly and convey detailed or important instructions or ideas accurately, and the ability to hear average or normal conversations and receive ordinary information is necessary. Repetitive motions requiring frequent movement using the wrists, hands, and fingers, and average and ordinary visual acuity is necessary to prepare or inspect documents or operate computers and office equipment.
