Role Purpose To own and evolve the end-to-end digital ecosystem supporting a modern IFA business. The role sits at the intersection of advice technology, operations and client experience, with responsibility for connecting core systems —these include IFA back-office platforms, risk-profiling tools, cashflow-forecasting systems, advice engines, AI tooling and client and adviser-facing platforms. The postholder owns the processes, data flows and user journeys across these systems, ensuring they are efficient, scalable and aligned to regulatory requirements. Working closely with the Chief Operations & Technology Officer, they also help shape and deliver next-generation digital products across compliance, adviser automation and client self-service. Key Responsibilities — Process mapping and analysis Map, document and optimise end-to-end advice, operations and servicing processes, capturing both “as-is” and “to-be” views. Analyse existing workflows to identify inefficiencies, manual workarounds, bottlenecks and control gaps. Produce clear process maps, requirements, user stories and acceptance criteria. Act as the bridge between business, technology and compliance. — Rapid prototyping and solution delivery Rapidly prototype and iterate solutions — workflows, forms, automations and dashboards — to test ideas quickly with real users. Move prototypes from proof-of-concept through to tested, production-ready solutions. Configure and build within business systems wherever possible, rather than relying solely on external development. Gather feedback, iterate and continuously improve delivered solutions. — Zoho CRM ownership and configuration Own the configuration, workflows and automation within Zoho CRM as the firm's core client and advice platform. Design and build Zoho modules, layouts, blueprints, workflows and reports to match the advice process. Integrate Zoho CRM with back-office, platform and other business systems to create a connected, data-driven ecosystem. Maintain data quality, structure and consistency across Zoho CRM and connected systems. — Systems, data and integration Map data flows between systems (CRM, back office, risk tools, cashflow, platforms) and ensure integrity, consistency and auditability. Reduce duplication and manual intervention through automation and integration. Support system migrations, integrations and rollouts, including evaluating and onboarding new technology providers where needed. — Training and adoption Train advisers (IFAs), paraplanners and operations staff to use Zoho CRM and other digital tools confidently. Create training materials, guides, process documentation and best-practice frameworks. Run onboarding, floor-walking and hands-on support to drive adoption and behavioural change. Act as the go-to super-user and first-line support for advice-technology queries. — Continuous improvement Identify opportunities to improve efficiency, automation and scalability across the business. Prioritise and maintain a backlog of process and system improvements with the COTO and stakeholders. Measure the impact of changes and refine them based on real-world use. — Stakeholder management Work closely with the COTO (operations, delivery and architecture), compliance teams, advisers and paraplanners. Act as the central point of coordination for process and technology initiatives. Key Outcomes and Success Measures Clear, documented and standardised processes adopted across the business. Key Skills — Essential Proven experience as a Business Analyst / Technical Business Analyst, ideally within IFA, wealth management or financial services. Strong process-mapping and analysis skills (e.g. BPMN, “as-is / to-be” mapping) and requirements / user-story writing. Hands-on experience configuring and building in a CRM — Zoho CRM strongly preferred (workflows, blueprints, automation, reporting). Experience rapidly prototyping, delivering and iterating solutions with users. Understanding of advice processes and regulatory requirements (FCA environment). Confident working with integrated systems and data flows. Strong communication and training skills, able to bring non-technical users along. Ability to translate complex processes into scalable, practical solutions. — Desirable Breadth across the Zoho ecosystem (Zoho Creator, Flow, Analytics) and low-code / no-code automation. Experience delivering system training to advisers. Exposure to AI, automation or advice engines. — Core competencies Process mapping and analysis; rapid prototyping and delivery; Zoho CRM configuration; systems and data literacy; training and adoption; regulatory awareness; stakeholder management; and the ability to turn complex advice processes into tested, adopted solutions.
