Our Services, Approach and Culture
Since 1980, Tobias Financial Advisors has helped individuals, families and business owners navigate financial decisions through comprehensive financial planning and investment management. As an independent, fee-only fiduciary firm, our mission is to inspire, educate and prepare our clients so they can live the lives they want.
Our team values collaboration, initiative and doing what is right for our clients and each other. We take our responsibilities seriously, share ideas openly and look for practical ways to improve. As we grow, we are creating a dedicated technology role to help our people and systems work better together.
Position Summary
We are seeking a Technology & Business Systems Manager who combines strong technical skills with business judgment and the ability to get things done.
Reporting to the COO, you will serve as TFA’s primary internal technology resource, working closely with department leaders to administer our applications, support employees, connect systems and lead improvements. Your greatest focus will be on business applications, integrations, automation and AI, with responsibility for overseeing infrastructure and cybersecurity through a combination of direct administration and outside providers.
This is a hands-on individual contributor role with meaningful ownership. You should be comfortable configuring a system, resolving an employee’s issue, leading an implementation and helping leadership decide what to tackle next. We are looking for someone who takes initiative, creates a clear path forward and follows through with limited day-to-day direction.
What You Will Get to Do
Own our business applications and employee support
- Administer core applications, including configuration, user access, permissions, maintenance and vendor support.
- Own technology onboarding, role changes and offboarding across our systems.
- Troubleshoot issues directly and coordinate outside assistance when needed, maintaining ownership through resolution.
- Help employees use our tools effectively through clear guidance, training and documentation.
Connect systems and improve workflows
- Partner with department leaders to understand business needs and turn them into practical solutions.
- Build, maintain or coordinate integrations and automations that reduce manual work and duplicate data entry.
- Improve data quality, reporting and information flow across applications.
- Lead system changes from requirements and testing through implementation and employee adoption.
Put AI into practice
- Identify and implement useful applications of AI within approved tools and workflows.
- Help employees build confidence and skills in using AI effectively.
- Evaluate results and establish appropriate data protection, testing and human review in partnership with the COO and Compliance.
Oversee IT infrastructure, security and vendors
- Oversee Microsoft 365, identity and access management, employee devices, networks, telecommunications and related infrastructure.
- Perform administration directly or manage delivery through outside IT and cybersecurity providers.
- Coordinate patching, endpoint security, backup and recovery, and technical remediation.
- Manage vendor performance, licensing, renewals and costs, and support technology-related compliance and business continuity needs.
Lead projects and help shape technology strategy
- Develop project plans, establish milestones, coordinate resources and communicate progress and decisions needed.
- Work with the COO and department leaders to maintain a practical technology roadmap.
- Recommend investments based on business value, security, cost and implementation effort.
- Address recurring problems and favor solutions that are straightforward to use and maintain.
Our environment includes Salesforce, Microsoft 365, Orion, Schwab Advisor Center, NetDocuments, Asana, financial and tax-planning applications, and AI and meeting intelligence tools.
What We Seek in a Candidate
Required experience and capabilities
- At least five years of relevant technology experience, including hands-on systems administration and successful project delivery.
- Strong experience administering business applications, including configuration, permissions, troubleshooting and vendor coordination.
- Practical Microsoft 365 administration experience and working knowledge of identity management, endpoints, networking, cybersecurity, backup and recovery.
- Experience implementing integrations, automations or workflow improvements.
- Demonstrated ability to lead projects from an initial business need through completion, including testing, communication and adoption.
- Sound judgment, clear communication and the ability to prioritize competing needs.
- A record of taking initiative, working independently and following through.
- A willingness to embrace AI, actively develop relevant skills and apply them thoughtfully to business problems.
Especially valuable
- Experience in wealth management, an RIA or another financial services organization.
- Salesforce administration experience.
- Familiarity with wealth management applications, Microsoft Power Platform, APIs or integration tools.
- Practical experience implementing AI-enabled workflows or internal assistants.
We do not expect expertise in every application we use. We do expect a strong technical foundation, the ability to learn unfamiliar systems and the judgment to recognize when specialist help is appropriate. Leadership through project ownership and collaboration is essential; prior people-management experience is not required.
Why Join TFA?
You will have direct access to leadership and the opportunity to shape a new function that matters to the firm’s future. Your work will have visible impact on how employees do their jobs and how we serve clients. We welcome someone who wants to grow with us. As you demonstrate capability and our needs evolve, the role may expand into broader technology, operational and leadership responsibilities.
Compensation and Benefits
- Competitive base salary, depending on experience and qualifications, plus bonus and incentive compensation.
- Fully paid employee medical benefits.
- Unlimited personal time off.
- Company 401(k) and profit-sharing program.
- Professional development support, including tuition and certification reimbursement and professional association dues.
