Department Info

The Terumo EMEA Supply Chain organization brings together the European Distribution Center, Supply Chain Planning, Customer Service and Tender Office, creating a strong end-to-end partnership across the region. Together, these teams ensure an efficient flow of products, information and services while supporting our customers and commercial organizations.
The Tender & Contracts team in Italy is an experienced and collaborative team with strong knowledge of the local tender landscape and Terumo’s business. Teamwork, knowledge sharing and flexibility are central to the way the team operates, particularly when managing larger tenders and periods of high activity. Close collaboration with Sales, Customer Service and the different Business Units ensures an integrated approach throughout the tender process.
As Tender & Contract Specialist, you will become part of this team in Italy while also supporting the tender activities in France. The role has an international scope, with approximately 70% focus on Italy and 30% on France, and involves close collaboration with colleagues and stakeholders across both countries.

Job Summary

As our Tender & Contract Specialist, you will support tender activities from opportunity identification through submission, award and follow-up, ensuring accurate documentation, pricing and execution. You will combine strong tender expertise with excellent planning and stakeholder management, working closely with colleagues across Sales, Customer Service and the wider business in both countries. This is an excellent opportunity to bring your tender expertise into an international medical device environment where your work directly supports our ability to serve healthcare customers.

Job Responsibilities

  • Research and follow up on relevant tender opportunities, with a primary focus on Italy and additional support for France.
  • Handle the day-to-day execution of tender activities, from preparation and submission through award and administrative follow-up, ensuring accuracy, completeness and timely delivery.
  • Prepare, check and maintain all required tender, authorization, contract and award documentation in line with internal processes and applicable requirements.
  • Process quotations, commercial agreements and other customer requests related to tender activities and ensure the necessary administrative follow-up.
  • Maintain pricing, price lists and contracts in SAP for assigned product groups, ensuring accurate pricing information is available for subsequent order processing.
  • Work closely with Sales, Customer Service, Business Units and other internal stakeholders to collect information and ensure accurate and timely tender execution.
  • Handle multiple tenders, contracts and agreements simultaneously, prioritizing activities according to deadlines, workload and business needs.
  • Contribute to the continuous improvement of tender-related processes and ways of working across Italy and France.

Profile Description

  • 2 to 3 years of hands-on experience in tender processes, commercial contracts or agreements, ideally involving the preparation, submission and follow-up of tenders.
  • Previous experience within the medical device or pharmaceutical industry is considered a strong asset.
  • Fluent Italian and strong professional proficiency in French are essential for effective collaboration with the Italian and French teams. Good working knowledge of English is also required.
  • Strong understanding of tender processes and the ability to handle multiple tender activities and deadlines simultaneously.
  • Excellent planning, organizational and administrative skills, with strong attention to detail.
  • Ability to work under pressure, adapt to changing priorities and meet demanding deadlines while maintaining accuracy and quality.
  • A proactive, collaborative and hands-on mindset, combined with the ability to work autonomously and across different teams and functions.
  • Strong problem-solving and interpersonal skills to support effective collaboration with Sales, Customer Service and other stakeholders.
  • Experience with SAP, particularly related to pricing, contracts or Customer Service activities, is considered an advantage.

Offer

Tis role at Terumo offers the opportunity to join an experienced and collaborative Tender team where knowledge sharing, teamwork and mutual support are central to the way of working. It involves a broader scope than a traditional country-focused tender role, combining responsibilities across Italy and France and offering exposure to different markets, stakeholders and ways of working. Close collaboration with Tender, Sales, Customer Service and the Business Units provides the opportunity to further develop expertise in tenders, contracts, pricing and commercial operations.
Based in Rome, the position follows Terumo’s hybrid way of working, combining office-based collaboration with home-based work. For the Italian Tender Office, this currently means working from the office two to three days per week, including a common team office day.
Most importantly, the work contributes to something bigger. By supporting the accurate and timely execution of healthcare tenders, the Tender team helps make Terumo’s medical technologies accessible to healthcare providers and the patients they serve, contributing directly to our purpose of Advancing Healthcare with Heart.
