Join our team! Successful and leading title insurance agency seeks a highly self-motivated, detail-oriented, and experienced Title Order Entry Coordinator with a positive attitude to be a part of our team. Qualified candidates must be highly detail-oriented and have the ability to effectively multitask with excellent verbal and written communication skills.Summary:
The Title Order Entry Coordinator is responsible for the intake, review and setup of residential and commercial title insurance transactions. This role serves as a liaison between external clients, internal sales and operations teams, and the Orders/Vendor Management team to ensure that new orders are timely and accurately entered into the title production system.
Key Responsibilities
- Monitor shared inboxes or order intake queues for new title requests
- Carefully review contracts, loan documents, property information, and other real estate documentation to ensure order details are complete and consistent before entry
- Identify discrepancies between the order request and supporting documentation and escalate urgent, incomplete, or complex order requests according to department guidelines
- Follow established intake procedures, naming conventions, and documentation standards to accurately enter all necessary order data into the title production system
- Upload and organize supporting documents such as purchase contracts, loan agreements, deeds, surveys, closing instructions, and related real estate documents
- Communicate professionally with clients and internal teams to resolve missing or conflicting information
- Monitor new order pipelines proactively, resolving delays, issues, or data discrepancies as quickly as possible
Requirements:
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to manage a steady volume of email-based requests
- Ability to prioritize competing tasks in a deadline-driven environment
- 3+ plus years of administrative experience, preferably in the real estate or title industry
- Knowledge of SoftPro Select a plus
- Ability to communicate effectively (written and verbal)
- Reliable, accountable, and able to complete work accurately within established timelines
- Professional customer-service mindset when communicating with clients and internal teams
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously
