Job Title: Tracing Finance Manager

Reports To: Associate Director Finance

Location: Columbia, MD (Hybrid – 3 days a week in office)

Position Summary: Ambu is the industry leader in single-use endoscopy, and we develop, produce, and sell medical devices that enable physicians and medical professionals to save lives on a daily basis. We are led by our values of Customer Centricity, Integrity, and Collaboration. If you are excited by the idea of contributing in a fast-paced, fast-growing, international organization where your work can make a real difference, we want you to join our team.

As Tracings Finance Manager, you will play a critical role in ensuring the accuracy and integrity of our indirect (trace) sales data. This role goes beyond data validation and mapping—it requires a deep understanding of the full end-to-end process, from distributor submission to chargeback payment, and its downstream impact on Sales Compensation and Finance. You will ultimately own the traced data and will be responsible for identifying and correcting discrepancies between the claims and the pricing/contract detail stored in the system, collaborating cross-functionally, and helping to develop and implement a robust process around the entirety of traced data.

Essential Functions and Responsibilities:

  • End-to-End Process Ownership:
    • Leads the development and execution of trace sales data process—from distributor submission through validation, mapping, and chargeback processing—ensuring accuracy and completeness at every step.
    • Manage, implement and document a robust process to ensure data integrity and usability.
    • Coordinate monthly meetings cross-functionally to ensure alignment and timely execution on initiatives and payments.
  • Data Validation: Review trace sales submissions from third-party distributors, ensuring alignment with internal pricing and contract data.
  • Post-Validation Review: This role places a strong emphasis on reviewing sales data after the formal validation process is complete—identifying unusual variances in customer sales, average selling prices (ASP), or other figures that appear inconsistent or inaccurate.
  • Rebates and Fees Analysis: Calculate, analyze and validate rebates and fees leveraging salesforce, contracts and traced data, and generate reporting and accruals based on analysis.
  • Corrective Action: Investigate and write corrective entries to reverse inaccurate mappings and ensure data integrity across systems.
  • Cross-Functional Collaboration:
    • Partner with the Sales Compensation team to ensure accurate and timely handoff of validated trace data.
    • Work closely with other Finance members to trace data origins, understand financial variances, and support reconciliation efforts.
    • Work closely with contracts team to validate contracts, review upcoming payments and expirations
  • Sales Support & Communication:
    • Investigate discrepancies or changes in Sales Representatives’ sales attribution or compensation related to trace sales submissions and processing. Identify the root cause and work to implement timely remediation. Clearly explain the issue, resolution steps, and expected timing to Sales Representatives, including the impact on sales quotas and achievement, ensuring transparency and fostering trust in the data.
    • Proactively and professionally communicate broader issues—including cause, impact, resolution steps, and timing—to Sales Leadership and the Sales Operations Compensation team.
  • Distributor Relationship Management: Own the operational relationship with assigned distributors, guiding them through onboarding, data submission standards, and ongoing quality improvements.
  • Downstream Impact Analysis: Assist in financial reporting and in the calculation and monitoring of performance rebates. Evaluate their impact on sales compensation, accruals, and overall financial reporting to ensure accuracy and alignment across departments.
  • Process Improvement: Continuously evaluate and enhance validation processes, documentation standards, and issue resolution workflows.
  • Reporting & Communication: Review trace sale reports to identify anomalies, communicate pricing and eligibility information to internal and external stakeholders, and support audits and inquiries.
  • Special Projects: Contribute to cross-functional initiatives and special projects that support business growth, process innovation, and data quality improvements.
  • Ad Hoc: Additional duties as needed

Qualifications, Skills, and Education:

    (3 days in the office).
