Job Opportunity: Transition Coordinator

Location: Tokyo, Japan

Employment Type: Full-time Contract

Languages Known: Japanese, English

Work Schedule: Hybrid -Three days per week in office, tentatively Monday, Wednesday, and Friday



Role Overview

Provide local project coordination, stakeholder engagement, and transition management support to the Transition Manager throughout the transition lifecycle. Act as the primary Japanese-speaking liaison, helping ensure successful delivery of the transition program and smooth communication between global and local teams.

Key Responsibilities

  • Act as the day-to-day Japanese-speaking liaison between project stakeholders.
  • Coordinate and facilitate transition governance activities, including meetings, action management, status reporting, and follow-up of open items.
  • Translate and coordinate communications, project documentation, workshop outputs, and status updates between Japanese- and English-speaking teams.
  • Assist with project planning, milestone tracking, maintenance of project plans, RAID logs (risks, actions, issues, and dependencies), and project documentation.
  • Support stakeholder management activities and ensure timely engagement of customer and supplier teams.
  • Coordinate knowledge-transfer sessions, workshops, readiness reviews, testing activities, and operational transition tasks.
  • Support the Service Desk, Field Services, Hardware Procurement and Resale, and related workstreams throughout transition and hypercare.
  • Identify risks, issues, decision points, and customer concerns, and proactively escalate them to the Transition Manager.
  • Support preparation of governance materials, executive presentations, project reports, and customer communications.
  • Provide local coordination support during deployment, go-live, hypercare, and transition closure activities.


Requirements


  • Native Japanese speaker with business-level English proficiency, both written and verbal.
  • Previous experience in transition management, project management, PMO, service delivery, IT outsourcing, or managed services environments.
  • Experience coordinating offshore and multicultural teams is highly desirable.
  • Strong stakeholder management, communication, documentation, and organizational skills.
  • Self-starter with the ability to drive actions and work independently with limited supervision.
  • Familiarity with IT Service Management (ITIL), Service Desk, Field Services, or Digital Workplace Services is desirable.
