Travel Consultant (Remote)
Position summary
The Travel Coordinator administers travel and mobility planning for a traveling workforce supporting data center launches and installations. Working from a home office under general direction, the Travel Coordinator evaluates deployment requirements, develops travel plans, manages travel budgets and supplier performance, and advises deployment leaders on options that balance cost, employee needs, travel policy, and operational readiness.
The proposed role includes independent evaluation of travel alternatives, recommendations on supplier arrangements and operating practices, and decisions within approved budgets and delegated authority. The Travel Coordinator is accountable for the effectiveness of travel support across assigned deployments and coordinates booking execution directly or through approved travel management partners. Deployments may be requested with as little as 48 hours’ notice.
Essential duties and responsibilities
-
Develop travel and mobility plans for assigned deployments, assessing workforce volume, destinations, reporting dates, shift schedules, assignment duration, lodging capacity, transportation needs, and total projected cost.
-
Evaluate alternative deployment travel arrangements and recommend options to Operations based on cost, service reliability, traveler needs, and the effect on launch readiness. Identify constraints early and advise leaders on feasible alternatives.
-
Develop and maintain deployment travel forecasts and budgets by site and cost center. Analyze spending and variances, recommend corrective actions, and obtain approval for commitments or exceptions outside delegated authority.
-
Evaluate travel providers and lodging and transportation options. Negotiate proposed rates, room blocks, cancellation terms, billing arrangements, and service commitments with Procurement; make supplier recommendations and secure required approvals before commitments.
-
Determine responses to travel disruptions within approved policy and spending authority, comparing rerouting, hotel extensions, alternate ground transportation, early returns, and redeployment options. Escalate safety concerns, policy exceptions, and expenditures beyond authority.
-
Develop and recommend improvements to travel readiness procedures, booking controls, supplier escalation practices, and contingency plans. Implement approved changes and assess their effectiveness across deployments.
-
Confirm approved traveler rosters, travel authorizations, cost centers, and reporting requirements. Arrange or oversee air travel, hotels, airport transfers, and recurring hotel-to-site transportation through approved channels.
-
Maintain readiness for requests received within 48 hours through current traveler profiles, supplier contacts, available capacity information, escalation contacts, and documented backup coverage
-
-
Ensure travelers receive complete itineraries, confirmations, reporting instructions, emergency contacts, and assistance procedures. Communicate changes clearly and professionally to employees, leaders, and suppliers.
-
Monitor booking status, arrivals, roster changes, missed connections, and transportation gaps. Coordinate with site leaders and travel partners to resolve issues affecting deployment readiness.
-
Analyze supplier performance, travel spending, cancellations, unused tickets, and service failures.
-
Present findings and recommendations to deployment leadership, Procurement, and Finance.
-
Reconcile travel charges, hotel folios, transportation invoices, refunds, and unused credits with Finance. Resolve discrepancies, recover available credits, and maintain accurate supporting records.
-
Protect confidential traveler and payment information in approved systems. Maintain accurate deployment trackers, supplier records, contingency procedures, and backup handoffs.
Decision making and accountability
The Travel Coordinator manages assigned priorities and evaluates competing travel solutions without step-by-step direction. Decisions must remain within approved travel policies, budgets, procurement rules, and documented financial authority. The Travel Coordinator recommends exceptions and changes to operating practices; the appropriate leader retains approval authority for unbudgeted spending, policy exceptions, and contractual commitments outside the Travel Coordinator’s delegation.
Performance expectations
Deliver travel readiness within approved deployment deadlines; maintain reliable arrivals and transportation coverage; provide accurate forecasts and timely cost reporting; reduce avoidable fees, billing errors, and lost credits; and recommend improvements supported by service and spending data.
