Tutor Operations & Quality Manager – Remote

Your Native Teacher is looking for a Tutor Operations & Quality Manager to take full ownership of the quality, performance, development, recruitment, and capacity of our tutor network.


This is not simply a recruitment or administrative role.


We are looking for someone who understands what excellent teaching looks like, can coach and develop educators, can identify performance issues early, and at the same time has the operational mindset to ensure that our tutor network can consistently support student demand.


You will be responsible for the entire tutor journey — from identifying hiring needs and selecting the right educators, through onboarding, training and ongoing quality management, to performance improvement and offboarding when necessary.


What you’ll be responsible for


Tutor Recruitment & Selection


You will manage the end-to-end tutor recruitment process, including:


  • Identifying recruitment needs based on student demand and tutor capacity
  • Creating and managing tutor recruitment campaigns
  • Sourcing and screening candidates
  • Conducting interviews and evaluating teaching profiles
  • Assessing teaching ability, communication skills, professionalism, reliability and overall fit
  • Organising and evaluating demo lessons or practical assessments where required
  • Making informed hiring recommendations
  • Building and maintaining a strong pipeline of qualified tutors across languages and subjects


The goal is not simply to hire more tutors, but to consistently bring the right tutors into the team.


Tutor Capacity & Availability Management


You will maintain a clear overview of tutor capacity across the business and ensure we have sufficient availability to support current and expected student demand.


This includes:


  • Monitoring tutor availability by language, subject and time slot
  • Identifying potential capacity shortages before they affect students or sales
  • Coordinating recruitment based on actual and forecasted demand
  • Monitoring changes in tutor availability
  • Ensuring adequate backup capacity across key teaching areas
  • Working closely with other teams when demand or capacity changes


You should be comfortable working with data and using it to make operational decisions.


Tutor Onboarding


You will ensure every new tutor is fully prepared before beginning to teach students.


You will own and continuously improve the tutor onboarding process, including:


  • Company processes and teaching standards
  • Lesson and trial lesson expectations
  • Student communication
  • Scheduling and cancellation procedures
  • Tutor tools and systems
  • Internal policies and escalation procedures
  • Quality expectations and performance standards


A tutor should never start teaching without clearly understanding what is expected of them.


Training, Coaching & Tutor Development


Tutor development will be a major part of your role.


You will:


  • Deliver individual and group training sessions
  • Conduct regular coaching and development conversations
  • Support new tutors during their first months
  • Identify individual development needs
  • Create training based on recurring issues or opportunities
  • Share best practices across the tutor team
  • Develop high-performing tutors further
  • Support tutors who are struggling through structured improvement plans


We are looking for someone who enjoys helping educators become better at what they do — while also being comfortable having difficult performance conversations when necessary.


Teaching Quality & Quality Assurance


You will be responsible for maintaining consistently high teaching standards across the tutor network.


This includes:


  • Conducting lesson observations and quality reviews
  • Reviewing student feedback and tutor-related complaints
  • Monitoring the quality of trial and regular lessons
  • Identifying recurring teaching or communication issues
  • Providing actionable feedback and coaching
  • Following up to ensure improvements are implemented
  • Developing and maintaining clear teaching quality standards
  • Identifying high-performing tutors and tutors requiring intervention


Quality management should be proactive — not something that begins only after a student complains.


Tutor Performance Management


You will maintain a clear understanding of how individual tutors are performing.


You will monitor areas such as:


  • Teaching quality
  • Student feedback
  • Reliability and attendance
  • Tutor cancellations and no-shows
  • Professional communication
  • Policy compliance
  • Student retention and tutor replacement patterns
  • Trial lesson performance
  • Availability and operational reliability


Where performance issues arise, you will be expected to investigate the root cause, provide coaching, agree on clear next steps, monitor improvement and escalate when necessary.


Tutor Experience & Retention


You will act as a key point of contact for the tutor team and will:


  • Maintain regular communication with tutors
  • Understand their concerns and challenges
  • Gather and act on tutor feedback
  • Resolve operational issues
  • Support engagement and professional development
  • Identify potential retention risks early
  • Help create an environment in which strong tutors want to stay and grow


Tutor Issues, Complaints & Escalations


When an issue involves a tutor, you will take ownership of investigating and resolving it.

This may include:


  • Student complaints
  • Teaching quality concerns
  • Repeated cancellations or lateness
  • Communication issues
  • Policy violations
  • Tutor/student mismatches
  • Performance concerns
  • Professional conduct issues


You should be able to remain fair and objective, understand both sides of a situation and make decisions that protect both the student experience and the standards of the company.


Tutor Offboarding


When a tutor leaves the team — voluntarily or due to performance — you will ensure the transition is properly managed.


This includes coordinating student handovers, ensuring upcoming lessons are handled, documenting departure reasons and helping minimize disruption to students.


Who we’re looking for


We are particularly interested in candidates who combine education experience with strong people and operational skills.


Ideally, you have:


  • 3+ years of teaching experience, preferably including online teaching
  • Previous experience in teacher training, coaching, mentoring or academic coordination
  • Experience conducting lesson observations and providing structured teaching feedback
  • A strong understanding of what constitutes an engaging, effective and professionally delivered lesson
  • Experience recruiting, interviewing or selecting teachers/educators
  • Experience managing or coordinating a team of teachers, tutors or other education professionals
  • Strong organisational and operational skills
  • Confidence working with data, trackers, CRM or other management systems
  • Excellent written and verbal communication skills
  • The ability to handle difficult conversations professionally
  • Strong judgement and the confidence to make decisions independently
  • A proactive mindset — you identify problems before they become emergencies
  • The ability to manage multiple priorities in a fast-moving remote environment


Experience as an Academic Coordinator, Teacher Trainer, Head Teacher, Director of Studies, Academic Manager, Education Operations Manager or similar role would be particularly relevant.


Experience in an EdTech, online education or language-learning company would be a strong advantage.

  • Strong tutors remain engaged and stay with the company
  • Tutor-related problems are resolved quickly and do not repeatedly escalate
  • The tutor network can grow without compromising teaching quality


Most importantly, you will treat the tutor network as something you own, rather than a collection of individual administrative tasks.

  • Contract: Full-time freelance collaboration
  • Compensation: €1,200–€1,300 per month, invoiced, depending on experience and profile
