Background: UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. The UN has been a strong partner of the Association of Southeast Asian Nations (ASEAN) in advancing Women, Peace, and Security (WPS) since 2017. Under the ASEAN-United Nations Plan of Action 2021- 2025, UN Women leads on Women, Peace, and Security in close collaboration with other UN agencies, leveraging its coordination mandate to ensure the UN system delivers on gender equality and the empowerment of women and girls. The UN Women Indonesia Country Office (CO) hosts the ASEAN Liaison Office, which supports ASEAN and its Member States in advancing the Women, Peace, and Security (WPS) agenda in line with global normative frameworks. Reporting to the Representative and Liaison to ASEAN, the National Consultant – ASEAN Coordination and Administrative Support works with and provides support to UN Women Indonesia in coordination, in line with UN Women rules and regulations. S/he contributes to liaising with ASEAN Sectoral Bodies, including providing necessary coordination, operational, financial, and administrative support. The National Consultant – ASEAN Coordination and Administrative Support works in close collaboration with the Programme and Operations unit in the CO and RO, and with UN Women HQs, as required, to resolve complex administrative and financial-related issues and exchange information. The main objective of the assignment is to provide coordination, operational, and administrative support related to ASEAN to the CO and RO team. Description of Responsibilities /Scope of Work Coordination and Liaison with ASEAN Stakeholders Support the preparation and dissemination of official communications, invitations, and correspondence with ASEAN stakeholders. Maintain regular follow-up with ASEAN Sectoral Bodies to ensure alignment of programme activities with ASEAN priorities and processes. 2. Operational and Administrative Support Support procurement, travel arrangement, financial and administrative processes in line with organisational rules and procedures, as required for programme implementation. Management of consultants and suppliers under ASEAN-related matters, including processing payments Ensure proper documentation and filing of project-related materials and ASEAN coordination records 3. Knowledge Management and Reporting Document key discussions, outcomes, and follow-up actions from ASEAN-related meetings and activities. Contribute to internal reporting within the organisation . 4. Other Support Provide other operational, financial and administrative support as required to facilitate the effective implementation of ASEAN-related initiatives. Consultant’s Workplace and Official Travel This is a home-based consultancy. The consultant may be requested to work from the office as required. Bachelor’s degree in Business or Public Administration is an asset. Experience: At least 5 years of progressively responsible experience in coordination, operational, financial and administration or programme management/support is required. Proven experience in supporting the coordination of the high-level consultative workshops for ASEAN government representatives, dialogue partners, institutions, and civil society organisations (CSOs) in Southeast Asia is required. Experience working in a multicultural team is an asset. Experience of working in a computer environment using multiple office software packages is required. Previous work experience working with high-level government officials in ASEAN would be a strong asset Experience in the use of Quantum and Unall is an asset.
