CLIENT BACKGROUND
A U.S.-based accounting and bookkeeping firm led by its founder with over 12 years of experience serving small businesses. The firm offers personalized, concierge-style bookkeeping and advisory services tailored to each client's unique needs. The client base includes medical professionals, consultants, and small business owners across various industries.
This is a high-trust, high-autonomy environment. The founder is not available for daily supervision, which means you must be able to manage your own workload, flag issues early, and follow through without reminders — while also asking smart questions when you need clarity.
DUTIES AND RESPONSIBILITIES:
Bookkeeping (Core)
- Own the full accounting cycle for an assigned client roster — from transaction categorization and data entry through reconciliations, month-end close, and financial reporting prep
- Work across multiple client files simultaneously, managing your own deadlines and priorities
- Identify and resolve discrepancies promptly; escalate when needed rather than leaving issues open
- Use Double for task management and time tracking across all client work — every task logged, every hour tracked, no exceptions
- Document client-specific workflows in Double as you build and refine them; you are responsible for keeping process documentation current
Administrative
- Track your own deliverables and client file status; proactively update the CEO without being asked
- Follow up with clients or team members as needed to keep work moving
- Contribute to process improvement as the firm grows and systems evolve
Social Media & Brand Support
- Build and maintain branded content templates in Canva aligned to firm visual standards
- Execute LinkedIn activity including building connections and publishing pre-determined content on schedule
- Flag engagement, comments, or messages that require the CEO's attention
- Maintain consistency in brand voice and visual presentation across all posts
Communication & Accountability
- Provide regular, brief progress updates on open tasks — you should never go silent on an active client file
- Ask clarifying questions before starting work when expectations aren't clear, not after a deadline is missed
- Surface problems early; do not wait for a check-in to raise an issue
QUALIFICATIONS
- Bachelor's degree in Accounting or related field
- Minimum 2 years of U.S.-based bookkeeping experience
- Strong, demonstrated proficiency in QuickBooks Online (QBO) — required
- Experience with Dext is a plus
- Experience with Double is a plus
- Comfortable working in Canva for branded content creation
- Familiarity with LinkedIn for professional brand-building
- Excellent organizational skills and strong attention to detail
- Proven ability to manage multiple client files simultaneously without sacrificing accuracy or timelines
- Strong written communication skills — clear, professional, and direct
- Comfortable working remotely with minimal supervision while remaining fully responsive and accountable
