VCC Operations Executive

What you will do on your journey with WebBeds.

As a VCC Operations Executive, you’ll manage the day-to-day processing of the virtual card process such as reissuing, deletion and investigation or troubleshooting for unsuccessful payments. You’ll be the key point of contact for suppliers and internal teams, handling queries, investigating failed charges, and upholding company policies to maintain strong financial controls.

You’ll support the Senior and Team Leader in delivering high-quality outputs, assist with daily responsibilities and ad-hoc tasks, and ensure all suppliers are paid in a timely manner.

In this role you will:

Key responsibilities

• Virtual card processing: Process virtual credit card payments accurately and within required timelines.
• Payment issue resolution: Investigate unsuccessful payments and complete virtual card reissues, reversals, or deletions as required.
• Stakeholder support: Respond promptly to payment queries from hotels, contract managers, customer service teams, suppliers, and other stakeholders.
• Policy execution: Support the consistent application of policies and procedures for transactions outstanding for more than six months.
• Charge verification: Verify the authenticity of charges and report suspected issues or potential fraud risks promptly.
• Account variance support: Collaborate with the Accounts Payable team to investigate and resolve variances in vendor accounts.
• Process compliance: Follow standard processes and escalate exceptions, control concerns, or operational issues to management when needed.
• Team support: Support the Senior Executive and Team Leader with daily responsibilities, ad hoc tasks, and other duties aligned with operational requirements.

The skills we would love to see in your suitcase!

• At least 1-2 years of relevant work experience, ideally in shared services, customer service, hotel operations, or the travel industry.
• A bachelor’s degree or college qualification in a relevant field.
• Experience with ERP systems and customer service platforms such as Freshdesk or Zendesk.
• Strong communication, problem-solving, collaboration, and teamwork skills, with the ability to work effectively in an international and culturally diverse organisation.
• Proficiency in English for business communication.
• Willingness to work different shifts and render overtime when operationally required.
