WFM Implementation Specialist (Time & Labor)

The WFM Implementation Specialist (Time & Labor) is responsible for managing the implementation of Viventium +
Apploi Time and Scheduler solutions from project initiation through go-live and transition to ongoing service. This role
applies advanced functional, product, and implementation expertise to translate client business requirements into
effective system configurations, integrations, data-conversion strategies, testing plans, and workforce management
solutions.
The Specialist partners closely with clients, Data Conversion, Product, Technology, Client Support, Client Success and
other cross-functional stakeholders to ensure implementation activities, project milestones, system requirements, and
client-readiness objectives remain aligned. Depending on project scope and complexity, the Specialist independently
manages implementation activities or works in conjunction with internal resources to support timely, accurate, and high quality delivery.
Key Objectives
• Deliver accurate, timely, and client-centered Time and Scheduler implementations from project initiation through
transition to ongoing service
• Translate client workforce management requirements into scalable system configurations, integrations, reports,
and implementation solutions
• Maintain clear project plans, milestones, ownership, dependencies, risks, and status visibility throughout the
implementation lifecycle
• Coordinate data conversion, system integration, testing, training, and client-readiness activities to support
successful go-live outcomes
• Provide consultative recommendations that improve client processes, system utilization, and adoption of
Viventium + Apploi workforce management solutions
• Strengthen implementation quality, team capability, and client satisfaction through continuous improvement,
technical guidance, and knowledge sharing
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Time and Scheduler Implementation
• Manage the end-to-end implementation of Viventium + Apploi Time and Scheduler solutions, including
requirements discovery, system configuration, data conversion, integration, testing, training, go-live, and
transition to ongoing service
• Analyze client systems, operational processes, workforce policies, scheduling requirements, interface
specifications, and business objectives to recommend appropriate functional designs, configurations, and product
adaptations
• Configure and maintain client control information and other assigned Time and Scheduler components based on
documented client requirements and approved solution designs
• Determine appropriate data-conversion methodologies; document conversion requirements and coordinate
accurate, timely client data conversions with Data Conversion Services
• Coordinate integrations between Viventium + Apploi and third-party systems to support accurate data flow,
functional compatibility, and client operating requirements
• Plan and support pre-implementation and post-implementation testing; monitor conversion and testing results to
identify data, configuration, integration, or readiness issues before go-live
Project Planning and Client Coordination
• Conduct project-initiation activities and establish implementation plans, milestones, deliverables, dependencies,
roles, and client responsibilities
• Independently manage assigned implementation activities or partner with a Project Manager to maintain project
timelines, ownership, risks, decisions, and status visibility
• Maintain accurate and timely implementation milestones, project records, client updates, risks, and required
actions in Salesforce and other designated systems
• Communicate project status, requirements, decisions, dependencies, risks, and required actions to clients, Project
Managers, and cross-functional stakeholders
• Identify implementation obstacles that may affect project scope, quality, timing, or client readiness; coordinate
resolution or escalation with the appropriate stakeholders
• Recommend modifications to implementation plans or timelines when client readiness, technical dependencies,
resource constraints, or business requirements affect planned delivery
• Coordinate the formal handoff of live systems, implementation documentation, open items, and client
information to Client Services and other responsible departments
Client Consulting, Solution Design, and Training
• Provide professional consulting services that align Viventium + Apploi Time and Scheduler solutions with
documented client business, workforce management, and operational requirements
• Develop complex custom reports and recommend product, module, configuration, or workflow adaptations based
on client needs
• Provide business-process re-engineering recommendations that support successful conversion, effective system
utilization, and sustainable post-implementation processes
• Design or support delivery of client-defined systems, processes, tools, reports, databases, and other
implementation resources
• Guide clients and internal stakeholders on functional design, system integration, testing requirements, and
solution use within the client’s operating environment
• Develop and deliver customized client training that supports system readiness, knowledge transfer, adoption, and
effective use of implemented functionality
• Lead or contribute to special projects that advance implementation quality, product utilization, client experience,
or business objectives
Implementation Operations and Continuous Improvement
• Manage assigned implementation workload through designated internal systems, maintaining accurate project
status, documentation, prioritization, and follow-through
• Apply established implementation methodologies, documentation standards, quality controls, and operating
procedures in support of consistent client delivery
• Maintain and expand knowledge of Viventium + Apploi products, services, system functionality, implementation
practices, workforce management trends, and relevant industry developments
• Evaluate recurring implementation issues, client feedback, and delivery trends to recommend product, service,
process, or documentation improvements
• Partner with Product, Technology, Client Services, Data Conversion Services, and other stakeholders to address
issues that affect implementation quality, scalability, or client satisfaction
• Participate in task forces, stretch assignments, user groups, information sessions, sales meetings, and other
activities that support implementation or broader business objectives
Team Capability and Knowledge Sharing
• Provide technical guidance, coaching, training, and implementation support to less experienced implementation
associates
• Share product knowledge, implementation practices, troubleshooting approaches, and lessons learned to
strengthen team capability and delivery consistency
• Support onboarding, knowledge transfer, and skill development for implementation team members, as assigned
• Contribute to a collaborative operating rhythm that supports visibility, accountability, continuous improvement,
and high-quality execution

Qualifications (Knowledge, Skills, and Abilities)
Education
• High school diploma or equivalent required
• Bachelor’s degree in Business, Human Resources, Information Systems, Project Management, or a related field
preferred; equivalent relevant experience may be considered
Minimum Qualifications
• 4+ years of experience implementing, configuring, supporting, or consulting on Time and Labor, workforce
management, scheduling, payroll, HCM, or related business systems
• Demonstrated experience managing implementation milestones, client deliverables, functional requirements,
testing activities, and cross-functional dependencies
• Experience analyzing client systems, operational processes, business requirements, interface specifications, and
data to recommend functional implementation solutions
• Experience supporting system configuration, data conversion, integration, testing, reporting, training, or go-live
readiness activities
• Proficiency with Microsoft Excel and PowerPoint and experience maintaining implementation or client
information in Salesforce or a comparable CRM or project-management system
• Strong client-consulting, written, verbal, presentation, and facilitation skills, with the ability to adapt
communication based on audience and project needs
• Strong project coordination, organization, problem solving, and decision-making skills, with the ability to manage
multiple concurrent priorities and drive assigned work to completion
• Demonstrated ability to identify implementation risks, analyze potential impacts, and coordinate appropriate
resolution or escalation
• Experience partnering across Product, Technology, Implementation, Client Services, Data Conversion, Sales, or
other internal and external stakeholder groups
• Demonstrated ability to operate accurately and effectively in a fast-paced, evolving, and client-facing environment
Preferred Qualifications
• 2+ years of experience implementing or supporting advanced scheduling solutions
• Experience with workforce management, payroll, HCM, healthcare technology, B2B SaaS, or another complex or
regulated operating environment
• Experience supporting complex system integrations, data conversions, client testing, custom reporting, or
business-process re-engineering
• Experience designing and delivering client-specific system or process training
• Experience providing technical guidance, coaching, training, or mentorship to implementation team members
• Demonstrated ability to translate implementation data, client feedback, and recurring issues into actionable
product, service, or process recommendations
• Experience operating within a high-growth, integration, or transformational environment

before go-live

Compensation & Pay Transparency
• Base Salary Range: $71,400 - $84,500 per year
• This range reflects the expected base salary for this position and is aligned with market data and internal equity
considerations
• Individual compensation will be determined based on factors such as experience, skills, qualifications, and
geographic location
• This role may also be eligible for discretionary bonus or other incentive compensation, in accordance with
Company plans
