Skin Gym creates beauty tools, skincare devices, and facial accessories, while PaintLab brings creativity and innovation to press-on nails. Our products are sold through leading retailers and our own e-commerce channels.

About the Role

We’re looking for an organized, proactive Wholesale & Retail Operations Coordinator to support both Skin Gym and PaintLab. You’ll work closely with our sales, operations, and warehouse teams to keep wholesale orders, retailer requirements, product information, and account follow-ups on track.

This role is ideal for someone who has experience supporting U.S. retail accounts, enjoys detailed work, and follows through without needing constant reminders.

Responsibilities

• Process and track wholesale purchase orders for both brands, checking quantities, pricing, product details, and shipping deadlines.
• Maintain an accurate open-order tracker and flag inventory shortages, delays, or discrepancies.
• Coordinate with our warehouse and operations team to ensure orders meet retailer shipping, labeling, and documentation requirements.
• Monitor retailer portals and communicate new orders, requests, and upcoming deadlines to the appropriate team members.
• Complete and maintain item setup forms, product specifications, UPC information, pricing sheets, and account records.
• Coordinate product images, descriptions, and other assets needed for retailer listings and new launches.
• Track shipments and collect invoices, bills of lading, advance shipping notices, and proof of delivery.
• Support deduction and chargeback investigations by gathering documentation and tracking dispute deadlines and status.
• Respond to routine wholesale account inquiries and coordinate order updates, samples, and reorder follow-ups.
• Pull retailer sales and inventory reports and prepare weekly summaries for the sales and operations teams.
• Keep account files organized and provide clear updates on outstanding tasks.

Qualifications

• At least 2 years of experience in wholesale coordination, retail operations, sales support, or order management.
• Experience supporting U.S. retailers or wholesale accounts.
• Excellent written and spoken English.
• Strong Excel and Google Sheets skills, including lookups, pivot tables, and data reconciliation.
• Strong attention to detail and the ability to manage multiple accounts and deadlines.
• Comfortable communicating with customers, warehouse teams, and internal stakeholders.
• Ability to work independently, identify problems, and escalate issues promptly.
• Reliable computer, internet connection, and a suitable remote workspace.

Preferred Experience

• SPS Commerce, EDI, Cin7, or similar order and inventory systems.
• Retailer vendor portals for accounts such as Target, Walmart, CVS, or Ulta Beauty.
• Retail compliance, shipping documentation, deductions, and chargebacks.
• Beauty, consumer products, or other businesses selling through national retailers.

Schedule & Compensation

• Full-time remote role for candidates based in the Philippines.
• Requires regular overlap with our Los Angeles team during Pacific Time business hours; the agreed schedule will be confirmed during interviews.
• Compensation commensurate with experience and qualifications.
