JOB DESCRIPTION / ROLE PROFILE
POSITION: PERSONAL ASSISTANT TO THE REGIONAL MANAGER
1. ROLE PURPOSE
The Personal Assistant (PA) to the Regional Manager is a strategic, highly organised, commercially aware and confidential support role responsible for ensuring that the Regional Manager operates with maximum efficiency, discipline, visibility and productivity.
The PA will serve as the Regional Manager's primary operational support, coordinating the Manager's calendar, meetings, travel, university partnership activities, client commitments, visa application administration, application timelines, team performance monitoring, CRM compliance, business development activities and regional expansion initiatives.
This is not a purely administrative PA position. The role combines executive support, operational coordination, performance monitoring, client and visa administration, business development, revenue generation, information management and compliance.
The PA will work closely with counsellors, student recruitment personnel, marketing/business development staff and other relevant team members to ensure that agreed targets, deadlines, CRM processes, client-service standards and operational commitments are consistently followed.
The PA will also contribute directly to RUHE Global Resources' commercial performance through the identification, engagement and conversion of prospective clients.
Minimum Individual Commercial Target
6 new paying clients per month
₦2,000,000 minimum monthly revenue/value generated
The ultimate objective of the role is to free the Regional Manager to focus on leadership, strategic partnerships, business expansion, high-value client acquisition and revenue growth, while ensuring that the Manager's commitments and the wider regional team's activities are properly coordinated, monitored and followed through.
2. KEY RESPONSIBILITIES
A. EXECUTIVE SUPPORT TO THE REGIONAL MANAGER
The PA will act as the Regional Manager's primary administrative and operational support.
Responsibilities
Manage the Regional Manager's daily, weekly and monthly calendar.
Schedule, reschedule and coordinate meetings, appointments, consultations and business engagements.
Ensure the Manager is adequately prepared for every meeting, presentation, interview, university engagement and business appointment.
Provide daily reminders of upcoming appointments, deadlines, priorities and outstanding actions.
Prepare daily and weekly schedules for the Manager.
Protect the Manager's time by appropriately prioritising appointments and requests.
Monitor commitments made by the Manager and ensure that agreed actions are followed through.
Maintain an accurate action tracker covering outstanding tasks requiring the Manager's attention.
Follow up with internal staff, clients, partners, universities and other stakeholders on behalf of the Manager where authorised.
Organise reports, presentations, correspondence, documents and information required by the Manager.
Maintain confidentiality regarding clients, staff, business information, partnerships and commercial matters.
Screen and prioritise routine requests where authorised.
Identify urgent matters and escalate them to the Manager promptly.
Support the Manager in maintaining an efficient and professional working structure.
Ensure the Manager receives relevant information before important meetings rather than having to request it repeatedly.
Expected Standard
The PA should ensure that the Regional Manager is never unnecessarily surprised by a meeting, deadline, outstanding task, client issue, university engagement, partnership commitment or team performance issue.
3. CALENDAR, MEETING AND COMMITMENT MANAGEMENT
The PA will take ownership of the Regional Manager's schedule and ensure that commitments are properly coordinated.
Responsibilities
Maintain a live calendar of all meetings, appointments, consultations, university engagements, travel and business activities.
Confirm meetings in advance and ensure participants have the correct time, location and joining information.
Prepare meeting schedules and daily itineraries.
Ensure sufficient preparation time is allowed between appointments.
Identify scheduling conflicts before they affect the Manager.
Track meeting outcomes and agreed actions.
Record action points, responsible persons and deadlines.
Follow up on outstanding actions.
Escalate overdue actions to the Manager where necessary.
Ensure important meetings are supported by relevant documents, client information, partnership information or performance data.
Maintain a record of recurring meetings and reporting deadlines.
Coordinate virtual and physical meetings with internal and external stakeholders.
4. REGIONAL MANAGER'S ACTION AND FOLLOW-UP SYSTEM
The PA will operate as the Manager's follow-through mechanism, ensuring that decisions are converted into action.
Responsibilities
Maintain a Regional Manager Action Tracker.
Record decisions and instructions requiring follow-up.
Assign or confirm responsible persons where authorised.
Monitor deadlines.
Request progress updates.
Identify delays, blockers and risks.
Escalate unresolved matters.
Confirm completion rather than simply assuming that an instruction has been carried out.
Provide the Manager with a concise outstanding-actions report.
Ensure important commitments to clients, universities, agents and partners are not forgotten.

The PA should not merely remind people that something is outstanding; they should establish what has been done, what remains outstanding, why it is delayed and what action is required.
5. TEAM PERFORMANCE MONITORING AND ACCOUNTABILITY
The PA will support the Regional Manager in monitoring whether team members are delivering against agreed targets and responsibilities.
Responsibilities
Monitor agreed staff targets and deadlines.
Collect relevant performance information from counsellors, recruitment staff, marketing/business development personnel and other team members.
Monitor outstanding client and application activities.
Track leads, consultations, applications, offers, deposits, enrolments and conversions where applicable.
Monitor whether staff are updating the CRM correctly and on time.
Identify overdue tasks and inactive leads.
Follow up with responsible staff regarding outstanding activities.
Prepare performance information for the Regional Manager.
Highlight staff members who are exceeding, meeting or falling below expectations.
Identify recurring operational problems affecting performance.
Escalate significant performance concerns to the Regional Manager.
Maintain evidence of follow-up and outcomes.
Support the Manager in ensuring that staff are held accountable for agreed targets.

6. CRM AND DATA COMPLIANCE
The PA will support the Regional Manager in ensuring that CRM information is accurate, current and commercially useful.
Responsibilities
Monitor whether relevant staff are updating CRM records.
Check for incomplete, outdated or missing information.
Identify leads without recent activity.
Monitor follow-up activity on prospective clients.
Track the movement of clients through the recruitment/application pipeline.
Identify stalled applications and overdue actions.
Ensure important client information is properly recorded.
Prepare CRM-based reports for the Regional Manager where required.
Flag data-quality issues.
Support staff in maintaining consistent CRM practices.
Monitor whether agreed CRM processes are being followed.

7. CLIENT AND STUDENT RECRUITMENT SUPPORT
The PA will provide operational support to the Regional Manager in managing prospective and existing clients.
Responsibilities
Coordinate client consultations and appointments for the Regional Manager.
Prepare client information before consultations.
Ensure the Manager has access to relevant application history and supporting information.
Follow up on actions arising from client meetings.
Monitor application-related deadlines.
Track outstanding documents and client requirements.
Coordinate with counsellors and relevant internal teams.
Ensure clients receive timely responses where the PA is authorised to respond.
Identify clients requiring Manager intervention.

8. VISA APPLICATION ADMINISTRATION SUPPORT
The PA will provide strictly administrative and coordination support in relation to student and client visa applications under the direction of the Regional Manager and other appropriately authorised personnel.
The PA must ensure that visa-related administrative processes are handled accurately, confidentially and in accordance with RUHE Global Resources' approved procedures, applicable requirements and IKM policies and procedures.
Responsibilities
Maintain accurate records of visa application timelines, appointments, document requirements and outstanding actions.
Monitor application-related deadlines and alert the responsible staff member and Regional Manager of approaching or missed deadlines.
Coordinate the collection and organisation of documents requested from clients.
Check that administrative requirements have been completed before escalating applications to the appropriate responsible person.
Maintain accurate visa application trackers and records.
Follow up with clients and relevant staff regarding outstanding administrative requirements where authorised.
Coordinate biometric appointments, document submission appointments and other administrative appointments where applicable.
Maintain records of visa application progress and outstanding actions.
Ensure visa-related information is entered and maintained in the approved CRM or designated company system.
Escalate discrepancies, missing information, inconsistencies or potential compliance concerns immediately.
Never alter, remove, conceal or knowingly misrepresent information contained in a client application or supporting documentation.
Never provide immigration advice outside the PA's authorised role, competence or delegated authority.
Follow all approved visa-processing procedures and escalation routes.
Ensure client information is only accessed for legitimate business purposes.
Ensure visa-related documents are stored and handled securely.
Maintain a clear audit trail of administrative actions undertaken.
Immediately report any suspected data breach, unauthorised disclosure, fraudulent document, inaccurate information or compliance concern to the Regional Manager or designated authorised person.
Critical Compliance Requirement
Visa application administration is a controlled activity. No administrative convenience, client pressure or instruction from an unauthorised person should result in company procedures, IKM policies, data-protection requirements or application integrity being compromised.
9. STRICT COMPLIANCE WITH IKM POLICIES AND COMPANY PROCEDURES
The PA is required to maintain strict compliance with all applicable IKM policies, procedures, operational standards, information-management requirements and internal RUHE Global Resources policies relevant to the role.
Responsibilities
The PA must:
Read, understand and comply with all policies applicable to their position.
Follow approved procedures without bypassing controls.
Maintain accurate and complete records.
Use only approved systems, communication channels and processes for company activities.
Follow all confidentiality, information-security and data-protection requirements.
Report suspected breaches, errors, irregularities or non-compliance immediately.
Complete mandatory training required by RUHE Global Resources or IKM.
Keep their knowledge of applicable policies and procedures current.
Never deliberately circumvent a policy or procedure for convenience or to accelerate a transaction.
Seek written clarification where an instruction appears inconsistent with an applicable policy or procedure.
Escalate any conflict between a management instruction and a mandatory policy requirement before taking action.

10. DIRECT BUSINESS DEVELOPMENT AND REVENUE GENERATION
The PA will have a direct commercial responsibility and must contribute to revenue generation rather than functioning solely as an administrative support employee.

Responsibilities
Identify and engage prospective clients through approved RUHE Global Resources channels.
Follow up on enquiries, leads and referrals.
Conduct or coordinate initial client engagement where appropriate.
Explain relevant RUHE services accurately and professionally.
Identify client needs and match them with appropriate services.
Convert qualified prospects into paying clients.
Maintain accurate records of personal leads and conversions.
Follow up systematically rather than relying on one-off contact.
Generate referrals from existing clients and professional networks.
Participate in approved marketing campaigns and recruitment activities.
Support education fairs, webinars, seminars, school engagements and other recruitment activities.
Identify opportunities to generate additional value from existing client relationships.
Work with recruitment and marketing teams to maximise conversion.
Report weekly pipeline and conversion performance to the Regional Manager.
11. BUSINESS DEVELOPMENT AND PARTNERSHIP SUPPORT
The PA will support the Regional Manager in maintaining and developing commercial relationships.
Responsibilities
Assist in coordinating university and institutional partnership meetings.
Prepare partnership meeting documents and information.
Maintain records of agreed partnership actions.
Follow up on partnership commitments.
Track outstanding documents and information requested by partners.
Support the Manager in preparing for university visits and meetings.
Maintain accurate records of partnership contacts and activities.
Identify follow-up opportunities arising from meetings.
Coordinate internal actions required to deliver partnership commitments.
Support business development activities directed by the Regional Manager.
The PA is not expected to replace the Manager in strategic negotiations but should ensure that relationships, meetings, actions and opportunities do not fall through the cracks.
12. UNIVERSITY PARTNERSHIP AND MARKET ENGAGEMENT SUPPORT
The PA will provide operational support for RUHE Global Resources' university and market engagement activities.
Responsibilities
Coordinate university meetings and appointments.
Maintain the Manager's university engagement calendar.
Prepare meeting packs and relevant institutional information.
Track university follow-up actions.
Monitor deadlines associated with partnership activities.
Coordinate attendance at recruitment fairs and institutional events.
Support travel and accommodation arrangements for business engagements.
Maintain records of contacts established during events.
Ensure post-event follow-up is completed.
Support the conversion of university engagement into measurable recruitment opportunities.
13. TRAVEL AND EVENT COORDINATION
The PA will coordinate travel and logistics for the Regional Manager and, where assigned, support wider business travel.
Responsibilities
Coordinate flights, accommodation and ground transportation.
Prepare travel itineraries.
Confirm meetings and appointments during business trips.
Organise event registration and attendance information.
Prepare travel documentation and meeting schedules.
Monitor travel changes and communicate urgent changes.
Maintain records of business travel.
Support logistics for education fairs, university visits, conferences and business development events.
Ensure appropriate preparation before departure.
Coordinate post-travel follow-up activities.
14. REGIONAL MANAGER COMMUNICATION AND CORRESPONDENCE
The PA will support the Regional Manager's internal and external communication.
Responsibilities
Draft routine correspondence for the Manager's review.
Respond to routine enquiries where authorised.
Coordinate communications with internal staff and external stakeholders.
Ensure important emails and messages are escalated.
Maintain professional communication standards.
Track correspondence requiring follow-up.
Ensure important commitments made through correspondence are added to the action tracker.
Maintain appropriate confidentiality.
15. CONFIDENTIALITY, INFORMATION SECURITY AND RESTRICTED DISCLOSURE
Due to the nature of the position, the PA will have access to highly confidential information belonging to RUHE Global Resources, the Regional Manager, clients, students, staff, universities, partners and other third parties.
All such information must be treated as strictly confidential.

STRICT INFORMATION-SHARING REQUIREMENT
The PA must not share, forward, copy, reproduce, disclose, upload, download, transfer, screenshot, photograph, discuss or otherwise communicate confidential company, client or management information to any person unless they have the appropriate authority and written permission to do so.
Where written permission is required, verbal permission, informal instructions, assumptions, previous practice or personal judgement must not be treated as sufficient authorisation.
16. WRITTEN AUTHORISATION FOR INFORMATION SHARING
Where information is requested by another person, organisation, staff member, client, partner or external party, the PA must:
Confirm whether the requesting person is authorised to receive the information.
Obtain the required written permission/authorisation before disclosure.
Retain an appropriate record of the authorisation.
Share only the information specifically authorised for release.
Use an approved communication channel.
Verify the identity of the recipient where appropriate.
Escalate any uncertainty to the Regional Manager or designated authorised person before disclosure.

17. INFORMATION ACCESS AND NEED-TO-KNOW PRINCIPLE
Access to information does not automatically give the PA permission to disclose or use that information.
The PA must operate according to the need-to-know principle.
The employee may access information only where:
Access is required for the role → Purpose is legitimate → Appropriate authority exists → Information is handled securely.
The PA must not access records simply because they are technically available.
The PA must also ensure that confidential information is not left:

18. MANAGEMENT INSTRUCTIONS AND WRITTEN AUTHORISATION
Because the PA works closely with the Regional Manager and may receive instructions from several members of staff, the PA must distinguish between:

Authorisation to disclose confidential information.
An instruction to complete a task does not automatically authorise the PA to disclose confidential information associated with that task.
Where disclosure of confidential information is required, the PA must obtain the appropriate written authorisation before sharing it.

19. BREACHES OF CONFIDENTIALITY AND COMPLIANCE
Any suspected or actual breach must be reported immediately.

The PA should ensure that the Regional Manager's priorities are translated into coordinated action and measurable results while protecting the confidentiality, integrity and compliance of the company's operations.
The role is ultimately successful when the Regional Manager has more time to lead, build partnerships, acquire high-value clients and grow the region because the PA has ensured that the operational details, follow-ups, deadlines, client administration, compliance requirements and agreed actions are under control.
