ENTITY
Private office of a high-profile principal
LOCATION
Paris, France — onsite. ~30% international travel (US/EU/Asia). Relocation available for exceptional candidates.
WORK SCHEDULE
Core hours: Monday–Friday, 9:00–7:00. This role supports a high-profile principal across time zones—flexibility and an always-on mindset are essential (occasional evenings/weekends).
ABOUT THE PRINCIPAL & CONTEXT
Our principal is a globally recognized leader in the creative industries with a diverse portfolio of operating businesses and brand partnerships. This role is central to enabling the principal’s time, communications, and relationships while protecting confidentiality and brand reputation.
THE OPPORTUNITY
You’ll be the principal’s right hand for time, information, and relationship flow—owning the calendar, triaging communications, and orchestrating complex travel and meetings. You’ll anticipate needs, resolve conflicts before they arise, and ensure the day runs on rails. You’ll collaborate closely with the personal assistant, operations, security/protection, brand and partnerships teams, and external stakeholders worldwide. You’re comfortable multitasking and moving quickly across a range of priorities. You’re able to nurture high profile relationships with professionalism, warmth and real responsiveness. You have an understanding of how to run a business and what needs to be prioritized accordingly. You’re someone who thinks no job is too small, that is humble and excited to learn.
WHAT YOU WILL DO
- Own and operate a single, master calendar across business, creative, and personal domains; proactively sequence, prioritize, and protect time.
- Triage, draft, and route communications (email, text, calls); prepare briefing notes, bios, and backgrounders; capture decisions and next steps.
- Plan, produce, and follow through on meetings: agendas, materials, action logs, and tight follow-up until completion.
- Run end-to-end travel for the principal: commercial and private aviation, visas, charters, ground, accommodations, holds, and contingency plans.
- Partner daily with the personal assistant and operations team to execute routines, personal logistics and scheduling, and travel plans.
- Maintain and actively steward a high-value contacts network and CRM; drive relationship touchpoints (gifting, invitations, handwritten notes).
- Coordinate across the business, legal, finance, operations and security to ensure alignment and confidentiality.
- Own information hygiene: file/asset organization, naming conventions, and secure sharing protocols; uphold privacy/NDAs and data protection.
- Support light event and shoot logistics (POCs, run-of-show, call sheets, vendor coordination) in partnership with production/ops.
- Manage expenses, reconciliations, and vendor invoicing in coordination with finance; keep accurate records and approvals.
- Anticipate roadblocks; build buffers and Plan B/C; maintain a calm, solutions-first presence in dynamic environments.
QUALIFICATIONS
- 5+ years as an EA supporting a high-profile or ultra-dynamic principal (executive, founder, or public figure).
- Impeccable discretion and judgment; experience handling confidential information and sensitive situations.
- Elite scheduling muscles: complex time zones, rapid pivots, and long-horizon planning coexisting with last-minute changes.
- Outstanding written/verbal communication; ability to draft clear, high-quality emails, briefs, and notes on behalf of the principal.
- Fluency with Google Workspace and Microsoft 365; strong proficiency with productivity and PM tools (e.g., Notion/Asana, Slack, Airtable) and CRM hygiene.
- Travel mastery: private/commercial aviation, visas, VIP services, hotel/villa bookings, ground and security coordination.
- High EQ and service mindset; calm under pressure; proactive, resourceful, and relentlessly follow-through oriented.
- Operational rigor with taste: you sweat details while understanding brand, discretion, and elevated presentation.
- English professional fluency required; French is not required, but is a plus
