About Us
AI Accountant (AiA) is building an AI-native platform transforming accounting and bookkeeping workflows. We simplify compliance, automate financial operations, and help businesses operate with clarity and confidence.
Backed by global investors like Y Combinator, we are scaling fast and building a team that combines speed, ownership, and sharp execution.
We're not building a feature company. We're building a category.
Job Summary
This role keeps the People team running. You will own candidate coordination, joining-day experience, admin logistics and HR documentation, so the team's time goes to hiring and people decisions. It is a hands-on coordination role with a clear path into Admin or HR Operations as AI Accountant scales.
What you'll do
Candidate coordination
- Schedule interviews end to end: align panel calendars, send invites and reminders, handle reschedules
- Follow up with candidates and interviewers so feedback and decisions don't stall
- Keep candidates engaged with timely updates at every stage
- Stay connected after offer acceptance until Day 1: regular check-ins, document collection, answering questions and flagging dropout risk early
Joining day and onboarding
- Own the Day 1 experience: welcome, desk and asset setup, team introductions, and taking new joiners out for breakfast or lunch
- Coordinate induction sessions and the first-week schedule
Admin and logistics
- Handle bookings for regular activities: venues, meeting rooms, travel and events
- Order and track props, supplies, welcome kits and event material
- Coordinate with vendors and keep spends within the agreed budget
Documentation and trackers
- Keep all HR sheets accurate and current: hiring, joiners, exits, leave and assets
- Manage health insurance documentation: employee additions and deletions, e-cards, and claim support with the insurer or broker
- Collect, verify and file employee documents; prepare standard letters as directed
- Compile monthly payroll inputs (attendance, leave, joiners, exits) for review
Employee support
- First point of contact for routine queries on leave, insurance and policies; escalate the rest
- Support townhalls, engagement activities and review-cycle reminders
What we're looking for
Must-haves
- 6–12 months of HR experience, full-time or internship, ideally in a startup
- Graduate in any discipline; an MBA/PGDM in HR is a plus
- Strong Excel or Google Sheets skills: lookups, pivots, clean trackers
- Clear written and spoken English; comfortable following up with senior managers
- High attention to detail and discretion with confidential data
- Ownership mindset: you close loops without being chased
Nice-to-haves
- Experience with office admin, vendor coordination or event bookings
- Exposure to group health insurance processes
- Familiarity with an HRMS (Keka, Darwinbox, Zoho People or similar)
- Interest in fintech or experience in a fast-scaling company
How success in 90 days looks like:
Day 1 - 30: You will have learned our trackers, vendors and hiring process; run Day 1 for at least one new joiner
Day 30 - 60: You will own interview scheduling and post-offer follow-ups for all open roles; processed insurance additions without errors
Day 60 - 90: Run joining days, admin bookings and documentation independently; every HR sheet current without reminders
