The Maintenance Coordinator manages daily and long-term needs of the building to ensure the comfort and wellbeing of our team members.

The Maintenance Coordinator oversees all building maintenance, vendor/service contracts, and assessment of facility needs. They are responsible to be on-call for building related emergencies, coordinating bids, problem-solving, and recommendations on repairs and projects.

The Role of a Maintenance Coordinator

  • Maintenance and Facility Improvement:

    • Regularly walk the property to identify needed repairs and cleanup

    • Perform and/or schedule preventative maintenance on company assets, including building, vehicles, and equipment

    • Coordinate planned maintenance activities to minimize disruption to operations and enhance the aesthetics of the building

  • Service Requests:

    • Receive and prioritize maintenance requests, including repairs, tidiness, and improvements

    • Assign tasks to appropriate vendors or perform tasks personally based on expertise and availability

    • Restock supplies in restrooms and kitchen areas as needed

  • Communication:

    • Conveying maintenance schedules, progress updates, and potential delays related to both maintenance and enhancement projects

    • Provide clear plans and meet or exceed expectations, ensuring that the building not only functions well but also looks its best

  • Prompt Response:

    • Respond promptly to urgent maintenance issues

    • Serve the executive team and their assistants in whatever way required to ensure seamless operations for leadership

    • Maintain a willingness to respond 24/7 to any building emergencies such as security breaches, power outages, water leaks, fire alarms, overnight snow

  • Groundskeeping:

    • Maintain the appearance of the grounds, including snow removal, grass cutting, and ensuring the grounds are aesthetically pleasing and free of debris

    • Coordinate with landscapers to enhance the overall appearance of our building

  • Inventory Management:

    • Maintain an inventory of spare parts, tools, and equipment required for maintenance

    • Ensure inventory levels are adequate to support operations, including breakroom supplies (e.g. toilet paper, paper towels, tissues, soap, etc.)

  • Purchasing and Remodeling:

    • Procure a wide variety of products for the building, including items related to office furniture, kitchen supplies, and bathroom supplies

    • Execute building improvements as requested, contributing to the enhancement of the building's function and appearance

    • Complete construction or remodeling projects to specifications such as set building for the studio or office space remodeling

  • Quality Control:

    • Monitor the quality of work, both in maintenance and enhancements, to ensure that repairs and enhancements are conducted to the highest standards

  • Security and Safety Compliance:

    • Ensure compliance with local codes for inspections and certificates, including fire safety and maintenance requirements

    • Monitor building access and question unknown individuals as needed to maintain security

  • Vendor Management:

    • Collaborate with external service providers and vendors for specialized maintenance and enhancement tasks

    • Obtain quotes, negotiate service agreements, evaluate vendor performance, and review invoices

You Have

  • High school diploma

  • Physical strength and good hand-eye coordination

  • Excellent customer service and negotiation skills

  • 3-5 years of experience in a general maintenance, contracting, construction, or a related field

  • Valid driver’s license

  • Ability to read, interpret documents, write reports, read contracts, and speak effectively

  • Ability to adapt to changing situations and requirements

  • Ability to pushback on vendors that are not living up to the agreement

  • Self-motivated and capable of handling multiple tasks with minimal supervision

  • Experience with operations and maintenance is preferred

  • Demonstrated expertise in basic carpentry/construction skills

  • Ability to work well in a team environment and independently on tasks and projects

  • Excellent time management and organizational skills
