Accounts Receivable & Billing Specialist
Industry: Healthcare
Location: Remote – South Africa
Employment Type: Full-Time
Working Hours: 30–35 hours per week, with flexibility during the day. Candidates must be available to work at least 4 hours overlapping with US business hours, ideally during the US morning.
Position Overview
Our US-based healthcare client is seeking an ambitious, highly independent, and solutions-driven Accounts Receivable & Billing Specialist to manage complex billing and payment processes. This role is ideal for someone who understands the full accounts receivable cycle, can navigate intricate financial processes, and takes complete ownership of their responsibilities.
Healthcare billing experience would be advantageous but is not essential. The client is looking for someone with strong AR and billing fundamentals, exceptional problem-solving abilities, and the confidence to work through complex situations independently.
This is not a role for someone who needs constant direction or step-by-step instructions. The successful candidate must be commercially and financially savvy, comfortable asking questions, actively engaged during training, and capable of connecting the dots between billing, payments, reconciliations, and backend processes.
The role will be directly overseen by the owner, Hannah, who will provide guidance and training. However, the successful candidate must be proactive, take initiative, and quickly develop the ability to manage the function independently. There may also be occasional Accounts Payable responsibilities.
Key Responsibilities
- Manage the end-to-end accounts receivable and billing process, ensuring accuracy, efficiency, and timely processing.
- Develop a thorough understanding of billing workflows, payment cycles, payment allocation, and the underlying backend processes.
- Monitor outstanding accounts, investigate discrepancies, and identify the root causes of payment delays or billing issues.
- Track payments and outstanding balances, following up on unresolved items and ensuring accounts are kept up to date.
- Understand how different processes and systems interact, identifying gaps, inefficiencies, and opportunities for improvement.
- Investigate complex billing and payment issues, applying sound judgement and creative problem-solving to find practical solutions.
- Take ownership of AR workflows and ensure issues are followed through to resolution without requiring constant supervision.
- Actively participate in training, ask insightful questions, and demonstrate the ability to learn complex processes quickly.
- Work closely with the owner to understand existing procedures, identify challenges, and improve operational efficiency.
- Assist with Accounts Payable tasks when required.
- Use Visiting Aid software to support billing and related processes, learning the system and its workflows as needed.
- Maintain accurate financial records and provide visibility into outstanding balances, payment statuses, and unresolved discrepancies.
Minimum Requirements
- Proven experience in Accounts Receivable, billing, or a closely related accounting or finance role.
- Strong understanding of billing procedures, payment processing, reconciliations, and the accounts receivable cycle.
- Ability to understand complex financial workflows and how individual processes connect.
- Strong analytical and problem-solving skills, with the ability to investigate issues independently.
- High level of financial and systems aptitude, with the confidence to learn new software and processes quickly.
- Self-starter mentality with a strong sense of accountability and ownership.
- Proactive approach to learning, with the confidence to ask questions, challenge assumptions, and suggest improvements.
- Strong communication skills and the ability to engage confidently with the business owner and other stakeholders.
- Excellent attention to detail, organisational skills, and the ability to manage competing priorities.
- Ability to work independently in a remote environment without constant supervision.
- Availability for at least four hours of daily overlap with US business hours, ideally during the US morning.
Advantageous Experience
- Previous experience in healthcare billing, medical billing, or healthcare accounts receivable.
- Familiarity with healthcare payment cycles, payer processes, and complex billing structures.
- Experience using Visiting Aid or similar healthcare billing and practice management software.
- Exposure to Accounts Payable and broader accounting processes.
Ideal Candidate Profile
The ideal candidate is an intelligent, ambitious, and resourceful professional who enjoys untangling complex financial processes. They are confident, inquisitive, and comfortable taking responsibility for a function rather than simply completing assigned tasks.
They can look beyond individual transactions to understand the bigger picture: why a payment has not been received, where a billing process may have broken down, and what needs to happen to resolve the issue.
They are not afraid to ask questions, think outside the box, or challenge an inefficient process. They engage actively during training, absorb information quickly, and apply what they learn independently. They have a strong personality, exercise sound judgement, and are comfortable working directly with an owner who expects initiative and accountability.
The key to success in this role is ownership, critical thinking, and the ability to understand and manage complexity. The client needs someone who can learn the function, take control of it, and continuously look for ways to make it work better.
Working Arrangement
- Fully remote position for a candidate based in South Africa.
- Full-time opportunity of 30–35 hours per week.
- Flexible scheduling during the day, provided the required US business-hour overlap is maintained.
- Minimum of four hours of daily overlap with the US team, ideally during US morning hours.
- Direct guidance and training from the business owner.
- Healthcare experience is beneficial but not mandatory for a candidate with strong AR and billing expertise.
