Administrative Coordinator (Professional Development Operations) Position: Professional Development Operations Coordinator Reports To: Associate Director, Professional Development Operations and Delivery Contract Type: Indefinite, Full Time The Chartered Professional Accountants of British Columbia (CPABC) is seeking a detail oriented, collaborative, and results-driven individual for the position of Professional Development Operations Coordinator. Job Summary Reporting to the Associate Director, Professional Development Operations and Delivery, the Professional Development (PD) Operations Coordinator provides administrative, operational, and logistical support for the planning and delivery of professional development programs and events. Working collaboratively with the PD Operations team, this role helps ensure the seamless execution of both virtual and in-person learning experiences through effective coordination of scheduling, reporting, financial administration, and event logistics. Key Responsibilities: Program Planning and Coordination · Collect and maintain course information, including course descriptions, instructor biographies, photographs, and required permissions. · Conduct instructor onboarding activities, including good standing checks, collection of self-declaration forms, and maintenance of instructor records in iMIS. · Liaise with CPA provincial bodies and external partners to coordinate shared course offerings, upload course materials and webinar links, and manage attendance reporting. · Support the preparation and administration of professional development programs and events. Virtual Seminar Delivery Support · Host and facilitate live webinars using Zoom, including meeting setup, testing, and technical support for instructors and participants. · Monitor virtual learning sessions by making housekeeping announcements, introducing speakers, launching polls, tracking attendance, and responding to participant inquiries. · Provide on-site support for in-person seminars, including registration, venue coordination, audio-visual setup, signage placement, troubleshooting, and participant assistance. · Coordinate course setup and teardown activities and ensure proper storage and inventory of materials following events. Administrative and Financial Support · Maintain and update program information in various systems and external platforms. · Assist with the processing and reconciliation of PD-related invoices in a timely and accurate manner. · Support registration activities for partnership programs and shared course offerings. · Coordinate the shipment and distribution of course materials and event supplies. Quality Assurance and Reporting · Create, distribute, and monitor seminar evaluations using SurveyMonkey for PD programs, including In-House programs, Nexus Day, Executive Programs, and conferences. · Compile, analyze, and summarize evaluation results and prepare reports for instructors and internal stakeholders. · Support data collection, reporting, and continuous improvement initiatives to enhance program quality and participant experience. Registration and Customer Support (Backup) · Process registrations, PD Passport purchases, cancellations, transfers, and refund requests accurately and efficiently. · Respond to customer inquiries by phone and email in a professional, timely, and customer-focused manner. · Communicate program updates, schedule changes, and cancellations to registrants. Internal Coordination and Special Projects · Coordinate internal meetings, schedules, and team events. · Provide administrative and operational support for departmental projects and initiatives. And other duties and responsibilities as assigned from time to time. Key Requirements: Knowledge and Experience · One (1) year of experience in Office Administration, Administrative Support, or a similar function. Demonstrated Skills and Abilities · Excellent interpersonal, communication and presentation skills, both verbally and written; · Process oriented with excellent attention to detail and problem-solving skills; · Strong organizational and multitasking skills. · Ability to work collaboratively as part of a team and independently with minimum supervision; · Intermediate proficiency with MS Office, in particular Word, Excel, PowerPoint and Outlook. · Meticulous attention to detail, refined organizational and time management skills. · Proven self-starter and team-builder with the ability and aptitude to self-motivate and take initiative with little supervision or direction. · Proven ability to prioritize competing requirements and deadlines under pressure. Preferred Knowledge, Experience, Skills and Abilities · Post-secondary qualification in a related discipline would be an asset. The starting annual salary for this position is between $42,250.00 and 50,150.00 per annum, based on candidates’ qualifications, experience, and internal parity.
