AI Project Manager (Python)

Position: AI Project Manager

Working Hours: Monday–Friday, PST

Scope of the Role

We are looking for an organised, proactive, and technically minded AI Project Manager to oversee the planning, execution, and delivery of AI-driven projects and automation initiatives.

This person will bridge the gap between business objectives and technical execution, ensuring that AI projects move efficiently from concept to implementation. They will use Notion as a central hub for project management, documentation, and workflow organisation, while applying Python knowledge to support automation, integrations, and collaboration with technical teams.

The ideal candidate combines strong project management skills with hands-on familiarity with AI tools, automation, and technical workflows. They should be comfortable working in a fast-paced, remote environment, identifying opportunities for improvement, and bringing structure to complex projects.

Duties and Responsibilities

Project Planning and Execution: Define project scopes, objectives, timelines, milestones, deliverables, and success metrics for AI and technology initiatives.

Notion Management: Build and maintain Notion workspaces, project dashboards, databases, documentation systems, and task-tracking workflows.

AI Project Coordination: Manage the implementation of AI tools, AI-powered workflows, automation initiatives, and related technology projects.

Python and Automation: Use working knowledge of Python to understand scripts, support simple automations, troubleshoot basic issues, and collaborate with developers on technical implementations.

Workflow Optimisation: Identify repetitive tasks and operational bottlenecks that can be improved through AI, automation, or better processes.

Cross-Functional Collaboration: Coordinate developers, AI specialists, operations teams, and business stakeholders to ensure alignment and timely delivery.

Technical Documentation: Maintain clear documentation of project requirements, workflows, processes, integrations, and implementation decisions.

Stakeholder Communication: Provide regular updates on project progress, risks, dependencies, and blockers.

Quality Assurance: Coordinate testing, feedback collection, issue tracking, and improvements before new tools or workflows are fully deployed.

Performance Monitoring: Track project KPIs, delivery timelines, adoption rates, and operational improvements to evaluate project success.

Continuous Improvement: Stay informed about emerging AI tools and identify opportunities to improve team productivity and operational efficiency.

Requirements

3+ years of project management experience, ideally in AI, technology, software development, or automation.

Strong practical experience with Notion, including databases, dashboards, documentation, and project workflows.

Working knowledge of Python, with the ability to understand scripts, support basic automation, and collaborate effectively with technical teams.

Experience coordinating technical projects from planning through implementation and ongoing optimisation.

Familiarity with AI tools, LLMs, generative AI, and AI-powered workflows.

Understanding of APIs, integrations, and automation concepts.

Excellent organisational, analytical, and problem-solving skills.

Strong written and verbal communication skills.

Ability to manage multiple projects independently in a remote environment.

A proactive mindset, with a strong interest in using technology to solve business problems and improve operational efficiency.

Success in This Role: Projects are delivered on time, Notion systems remain organised and actionable, AI workflows are implemented effectively, and automation initiatives generate measurable improvements in team productivity and operational efficiency.
