The Role
We are seeking a proactive Appointment Setter / Appointment Coordinator / Appointment Executive to support appointment scheduling, calendar coordination, lead follow-up, and meeting administration. You will help identify scheduling opportunities, contact relevant prospects or stakeholders, arrange appointments, confirm availability, and maintain accurate appointment and lead records.
This part-time, fully remote opportunity offers flexible working hours and exposure to appointment setting, scheduling, lead coordination, CRM administration, business development support, and digital communication tools.
Key Responsibilities
- Coordinate and schedule appointments, meetings, consultations, calls, demonstrations, and virtual sessions.
- Contact leads, prospects, clients, partners, or relevant stakeholders to arrange suitable appointment times.
- Follow up on appointment requests, pending confirmations, unanswered messages, and scheduling opportunities.
- Manage calendars, appointment schedules, meeting links, reminders, confirmations, and rescheduling requests.
- Maintain accurate lead, contact, appointment, and scheduling records in CRM systems and digital trackers.
- Verify contact information, appointment details, dates, times, meeting requirements, and relevant notes.
- Send appointment confirmations, reminders, follow-up messages, calendar invitations, and scheduling information.
- Coordinate with sales, business development, marketing, operations, management, and other internal teams.
- Monitor upcoming appointments, cancellations, no-shows, rescheduling requests, and outstanding confirmations.
- Assist with organizing lead lists, contact databases, appointment pipelines, and follow-up schedules.
- Conduct basic online research to verify contact information, company details, business profiles, and relevant lead information.
- Update CRM platforms, spreadsheets, databases, calendars, and appointment management systems.
- Prepare appointment schedules, activity summaries, lead trackers, follow-up reports, and routine administrative updates.
- Assist with identifying scheduling conflicts and coordinating suitable alternative times.
- Maintain organized records of communications, appointment outcomes, follow-up activities, and scheduling history.
- Identify opportunities to improve appointment booking rates, follow-up consistency, calendar organization, and scheduling workflows.
Requirements
- Bachelor's degree or equivalent qualification in Business Administration, Marketing, Communications, Sales, Management, or a related field is preferred.
- Minimum of 3+ years of professional experience in appointment setting, scheduling, sales support, business development, administration, or a related function is preferred.
- Understanding of appointment scheduling, lead follow-up, calendar management, CRM administration, and business coordination.
- Familiarity with CRM platforms, Google Calendar, Microsoft Outlook, Microsoft Teams, Zoom, spreadsheets, databases, and communication tools.
- Strong written and verbal communication skills with a confident, professional, and friendly approach.
- Strong follow-up skills with the ability to maintain consistent communication and manage multiple appointments.
- Excellent organizational and time-management skills with the ability to manage calendars, leads, requests, and deadlines.
- Good attention to detail when handling contact information, appointment times, meeting details, and CRM records.
- Good digital literacy and confidence working with remote communication and scheduling platforms.
- Good problem-solving skills with the ability to handle schedule changes, cancellations, and routine coordination issues.
- Reliable, proactive, responsive, organized, and comfortable working independently in a remote environment.
