Associate Project Manager (Conduct) - Hybrid

Are you looking for an exciting new career opportunity? CellCarta, a Contract Research Organization (CRO), is seeking a highly motivated Associate Project Manager (APM) to join our dynamic team. As an APM focused on Study Conduct, you will support the management of clinical studies from initiation through close-out while developing your project management expertise in a fast-paced and collaborative environment. Join a team of talented professionals committed to making a positive impact on human health and well-being. Apply today!

Position Summary

As an APM, you will drive and manage projects with internal stakeholders and external customers (pharma and biotech partners in oncology) to deliver results on time, in full, and in alignment with the CellCarta Quality System.

As an APM, you will gain a comprehensive understanding of the entire business model and will often be the first to identify what our customers need. As an APM, you are ultimately responsible for embodying the 3 T’s: keeping the project on Task, on Track, and on Time.

You will need to be comfortable doing the following:

  • Listen actively to the customer and build relationships to ensure client satisfaction
  • Manage yourself effectively under pressure
  • Prioritize being effective over being right
  • Be open to learning, growth, and continuous improvement
  • If you are organized, analytically minded, possess a solid technical background, and thrive in a dynamic, high-complexity environment, this might just be the role you're looking for!

Key Responsibilities

You will be responsible for the delivery of clinical projects within the agreed scope, time, and budget, primarily by coordinating a multitude of tasks performed by internal and external partners. You will ensure that each project is executed in compliance with CellCarta's Quality System.

You will work within a team of experienced Project Managers to learn project management methodologies and gradually take on responsibilities that contribute to project success.

As an APM focused on Study Conduct, your responsibilities begin when a clinical project has been set up internally and end when the project has been delivered to the sponsor, the study has been properly archived, and final invoicing has been prepared.

More specifically, you will participate in the following:

  • Manage global clinical studies once study set-up has been completed, all the way through close-out and archiving, including reporting and preparation of the bioanalytical report in compliance with GCP guidelines and regulations
  • Coordinate and lead sponsor calls (recurrent and/or ad hoc); assist with governance-level sponsor meetings as assigned
  • Schedule all sample testing and monitor the progress of each study
  • Oversee result reporting to sites and sponsors and ensure results are shared according to agreed turnaround times
  • Monitor study budgets and prepare invoices for sponsors; project future revenue by study
  • Maintain and document professional communication with the sponsor, cross-functional project team, and management throughout the duration of the study
  • Initiate and monitor close-out activities, including final invoicing and archiving, in a timely manner

Qualifications
Required Qualifications

  • Bachelor’s degree in Biology, Biochemistry, Biomedical Sciences, Pharmaceutical Sciences, or Medicine
  • 1-2 years of project management and/or CRA (Clinical Research Associate) experience and/or related project management support responsibilities; multiple years of experience in a client-facing role
  • A great curiosity and a learning appetite that is layered on top of a humble and teachable spirit
  • Proven success in managing complex projects to completion, with positive feedback and the ability to balance multiple priorities effectively
  • Professional-level communication skills; proficient in English, both written and verbal
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Power BI)
  • Excellent organizational skills with the ability to multitask
  • Positive and energetic attitude
  • Self-motivated, adaptable, and able to thrive in a dynamic environment
  • Diligent with strong attention to detail
  • Capable of working both independently and collaboratively
  • Strong critical thinking and problem-solving abilities
  • Customer- and project-focused mindset
  • A solution-driven attitude with persistence and determination

Preferred Qualifications

  • Master’s degree in Biology, Biochemistry, Biomedical Sciences, Pharmaceutical Sciences, or Medicine
  • Experience in cancer research, with an understanding of clinical laboratories, assay/instrument principles involved in in vitro diagnostic product design and use, as well as the scientific, statistical, regulatory, and compliance requirements of clinical research
  • Experience working in or with Histopathology and/or Genomics services
  • Experience working in CAP, CLIA, and GCP environments, with a working knowledge of EMEA and/or FDA guidelines related to clinical trials
  • Experience in data programming and validation
  • Experience working in global settings

Work Arrangements

  • Monday-Friday, 8:00 a.m. - 5:00 p.m., with flexibility
  • Hybrid flexibility to work from home, starting with approximately 1-2 days per week and gradually increasing following the training period
  • Location: 1841 Centre Point Circle, Suite 100, Naperville, IL 60563, USA
