Job Title: Back Office Representative

Monthly Pay: $3,531 - $5,204 USD per month

Summary:

An internal service request arrives, gets checked, receives a clear response, and closes with complete notes. As a Back Office Representative, you communicate updates and complete routine information changes that help colleagues keep everyday operations moving. This temporary position sits within the operations team, works under an operations team lead, and collaborates with service representatives and request owners. The position is fully remote, with work from home in New York, United States. Your desk-based work makes request status easier to understand and reduces avoidable handoff delays. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Receive internal requests through a shared email queue and a Support platform such as Freshdesk, then acknowledge receipt and identify the requested outcome.
  • Check each request for clear instructions, relevant reference details, and missing information before taking action or communicating an expected next step.
  • Review existing contact information and service history in a CRM such as Salesforce to understand context without duplicating earlier work.
  • Ask request owners focused questions when details conflict, explaining exactly what information is needed before the request can move forward.
  • Complete permitted contact corrections and routine service information updates using established instructions, keeping changes limited to the assigned request.
  • Maintain request trackers using a Spreadsheets and data entry tool such as Microsoft Excel, recording ownership, current status, outstanding questions, and next actions.
  • Communicate progress to service representatives and other internal contacts, distinguishing completed changes from items still awaiting confirmation or review.
  • Follow up on unanswered questions and delayed handoffs; escalate unclear instructions, unavailable information, or requests outside your authority to the operations team lead.
  • Confirm the requested update is complete, send a concise outcome message, and close the request with notes another teammate can understand.
  • Meet quality expectations through accurate updates, timely turnaround, complete notes, and consistent follow-up, using feedback to correct recurring mistakes.

Qualifications:

  • High school diploma or equivalent.
  • No experience required; related back office, office support, or internal service experience preferred.
  • Basic understanding of business operations, routine information changes, and how a request moves between an owner and the operations team.
  • Familiarity with information management, database applications, and checking information against an existing entry before making an update.
  • Ability to learn the named request tracking, customer information, and spreadsheet systems through guided practice and written instructions.
  • Clear written communication for acknowledgment messages, clarification questions, progress updates, and concise closing notes that explain the outcome.
  • Ability to prioritize assigned requests, notice inconsistent details, and ask for guidance rather than guess when instructions are unclear.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from home in New York, with desk-based responsibilities and collaboration through shared digital systems.
  • Structured onboarding and training on the named systems, including guided practice with sample requests, status updates, and closing notes.
  • Regular check-ins with the operations team lead to review questions, discuss feedback, and clarify priorities as you learn the workflow.
  • Opportunities to build back office operations, information verification, business process knowledge, and clear internal communication skills through everyday request handling.
  • Health coverage, paid leave, a 401(k), maternity leave, and bonus opportunities.
