Public & Private Sector | End-to-End Bid Management

We are looking for a Bid Manager to join emagine in Poland and take ownership of bids across both the Polish public and private sectors.
This is an important role for us. We are looking for someone who understands how to manage a competitive bid from opportunity through to submission – and, importantly, has hands-on experience with Polish public procurement and tender procedures.

As Bid Manager, you will be responsible for managing the end-to-end bid process, working closely with Sales, Delivery, Management, Legal, Finance and subject matter experts.
You will work across both public and private-sector opportunities, with a particular responsibility for ensuring that our Polish public tenders are managed professionally, compliantly and competitively.
The role also includes close collaboration with the Managing Director in Poland, contributing market intelligence, tender insights and commercial feedback that support growth and strategic decision-making in the Polish market.

Your responsibilities will include:

  • Managing bids from qualification and kick-off through to final submission

  • Leading and coordinating Polish public procurement procedures and tenders

  • Reviewing tender documentation and identifying requirements, risks, dependencies and evaluation criteria

  • Building bid plans, timelines, compliance matrices and clear ownership of deliverables

  • Coordinating input from Sales, Delivery, Legal, Finance, SMEs and other stakeholders

  • Ensuring all mandatory documentation and formal requirements are fulfilled

  • Developing compelling and client-specific proposal content

  • Challenging contributors to ensure our responses clearly address the client's requirements and evaluation criteria

  • Managing private-sector RFPs, RFIs and other competitive proposal processes

  • Supporting bid/no-bid decisions and identifying commercial and contractual risks

  • Ensuring high-quality, compliant and on-time submissions

  • Supporting continuous improvement of our bid processes, content and best practices

  • Developing and maintaining a structured market intelligence process to identify, monitor and share information about upcoming tenders, procurement plans and strategic business opportunities in Poland.

What we are looking for

We are looking for a mid-level Bid Manager who can independently manage bids while working effectively with senior stakeholders and subject matter experts.
Most importantly, you have practical experience with Polish public procurement and understand the formal requirements and processes involved in participating in public tenders in Poland.

Ideally, you bring:

  • Proven experience managing bids, tenders, RFPs or similar competitive processes

  • Hands-on experience with Polish public procurement procedures

  • Good understanding of Polish public tender documentation, compliance requirements and submission processes

  • Experience managing bids end-to-end

  • Experience with private-sector RFPs and commercial proposals

  • Strong project management and stakeholder management skills

  • Excellent attention to detail and the ability to manage multiple deadlines

  • A structured and proactive way of working

  • Strong written communication and proposal-writing skills

  • Fluency in Polish and English, both written and spoken

  • Experience from IT, technology, consulting or professional services is an advantage

What will make you successful

  • You do not need to be the technical expert in every bid.

  • You do need to be the person who can create structure, ask the right questions, challenge the organization, understand what the client is evaluating and turn contributions from multiple stakeholders into one strong and coherent proposal.

  • For public tenders, you will also be the person who understands the procurement process and makes sure that nothing important is missed.
