In this role, you will manage transaction categorization, bank reconciliations, accounts payable and receivable, payroll preparation, sales tax reporting support, and financial recordkeeping. You’ll work closely with the business owner and outside accountant to maintain accurate records, resolve discrepancies, support month-end close, and provide clear visibility into the company’s financial activity.

Experience with U.S. small-business bookkeeping, payroll, sales tax reporting, reconciliations, and spreadsheets is highly valued.

  • Track PTO balances and usage once the company’s PTO program begins January 1
  • Enter vendor bills, track payment due dates, and prepare payments for owner approval
  • Maintain accurate vendor and customer account balances
  • Track unpaid customer invoices, follow up on outstanding payments, and flag overdue accounts
  • Monitor upcoming cash requirements and financial obligations
  • Prepare Florida sales tax reports and filings using established procedures
  • Coordinate with the company’s accountant regarding sales tax reporting and other financial matters as needed
  • Reconcile sales tax collected against transaction records and investigate discrepancies
  • Maintain tax filing calendars and supporting documentation
  • Prepare regular summaries of accounts receivable, accounts payable, payroll, and unresolved financial items
  • Support month-end close and provide organized financial records to the company’s outside accountant

Required Skills and Experience:

  • Proven hands-on bookkeeping experience supporting a U.S.-based small business
  • Experience with transaction categorization, bank reconciliations, accounts payable, accounts receivable, and payroll
  • Experience reconciling invoices, customer payments, bank activity, and supporting transaction records
  • Knowledge of U.S. sales tax reporting and reconciliation
  • Strong spreadsheet skills and confidence working with financial data
  • Ability to review financial records, identify discrepancies, and investigate missing or unmatched information
  • Comfortable learning new software, including custom web-based applications
  • Experience supporting month-end close and coordinating with an external accountant
  • Ability to work independently and consistently follow through on financial tasks and deadlines
  • Strong judgment when handling confidential financial and employee information
  • Ability to identify and escalate financial issues promptly
  • Proficient English (B2+ or higher) & Spanish proficiency

Bonus Points for:

  • Previous experience with Florida sales tax reporting and filings
  • Experience working with automotive, RV repair, home services, repair services, or similar small businesses
  • Experience reconciling work orders against invoices, customer payments, parts, and labor charges
  • Experience working with custom bookkeeping, work-order, or sales tax software

What We Offer:
