We are a growing, US-based business looking for a reliable and detail-oriented Bookkeeper / Administrative Assistant to help keep our finances accurate and our day-to-day operations organized.
This is a hands-on role with real ownership. You will work directly with the founders, manage bookkeeping activities from the ground up, and provide administrative support that allows the leadership team to focus on growing the business.
As an early-stage company, you will have the opportunity to help establish processes, bring structure to recurring tasks, and improve how financial and administrative work is managed.
What You'll Do
A. Bookkeeping
- Record and categorize income and expenses accurately
- Reconcile bank and credit card accounts on a monthly basis
- Process vendor invoices and manage accounts payable
- Issue invoices, track payments, and follow up on outstanding balances
- Organize receipts and financial documentation
- Prepare basic monthly reports, including P&L, cash flow, and budget vs. actuals
- Help establish the chart of accounts and bookkeeping processes
- Support year-end preparation and coordinate with external accountants or tax preparers
B. Administrative Support
- Manage founder inboxes and calendars, including scheduling across time zones
- Organize files, documents, and shared drives
- Communicate with vendors, suppliers, and business partners
- Research and compare tools, services, and vendors
- Draft routine emails, documents, and simple reports
- Track tasks, deadlines, and follow-ups
- Build simple processes and templates for recurring administrative work
Skills
- 2+ years of bookkeeping experience, preferably supporting small businesses or startups
- 1+ years of administrative or executive assistant experience
- Hands-on experience with QuickBooks Online, Xero, or similar accounting software
- Solid understanding of basic accounting principles, reconciliations, AP, and AR
- Strong written and spoken English with clear, professional communication
- Excellent attention to detail and a high standard of accuracy
- Ability to work independently, prioritize tasks, and meet deadlines
- High level of discretion and integrity when handling confidential financial information
- Reliable internet connection and a dedicated remote workspace
