Bookkeeping and Administration Assistant - Australia We are looking for a switched-on Bookkeeper and Administration Assistant to become the engine room of an established Australian pressure washing and property maintenance business, working fully remotely in a long-term role with real room to grow as the company scales. Built around a core of bookkeeping in Xero, from reconciliations, payroll and BAS preparation through to invoicing, collections and cash flow reporting, the role also runs the admin that keeps a busy trades business moving, including the inbox, supporting scheduling and rostering in AroFlo, quotes and social media. The role calls for someone detail‑focused, well organised, and proactive—an all‑rounder just as comfortable chasing an invoice as booking in a job. The successful candidate will work closely with the Operations Administrator on the administration side and report directly to the Director for bookkeeping. Key Responsibilities • Perform regular bank and account reconciliations in Xero, keeping the books accurate and up to date. • Prepare the BAS ahead of each lodgement deadline, ensuring GST and reporting obligations are met on time. • Process payroll accurately and on schedule, including superannuation and leave records. • Raise and send customer invoices promptly from completed jobs in AroFlo, and follow up outstanding payments in a professional, persistent way. • Prepare regular financial reports, including cash flow forecasts, profit and loss and aged receivables, giving the owners a clear picture of the business. • Manage the business inbox, responding to customer enquiries, triaging messages and making sure nothing slips through the cracks. • Schedule jobs and manage the team roster in AroFlo, coordinating bookings, technicians and site details so every day runs smoothly. • Preparing quotes for review, entering enquiry and job data, follow up on outstanding quotes and help convert enquiries into booked work. • Support the business social media, posting project photos and updates and responding to messages and reviews. • Handle general administration, including supplier coordination, record keeping, insurance and compliance documents, and improving processes as the business grows. What We Are Looking For • Proven bookkeeping experience supporting an Australian business, with a solid working knowledge of BAS, GST, payroll and superannuation requirements. • Hands-on experience with Xero. Experience with AroFlo or a similar job management system is highly regarded. • A versatile all-rounder, comfortable switching between focused bookkeeping tasks and immediate data entry as enquiries land through the day. • Strong attention to detail and accuracy, with the discipline to keep reconciliations, records and job data current every week. • If you wish to apply, please rename your CV file to “CV for Application - AA‑2026‑2930" before submitting. • Confident preparing financial reports and cash flow forecasts, and able to explain the numbers in plain English. • Well organised, able to juggle recurring deadlines such as BAS, payroll and month-end alongside day-to-day admin without being chased. • Excellent written and spoken English. • A proactive, can-do attitude, spotting what needs doing and getting on with it rather than waiting to be asked. • Demonstrated employment stability, with a preference for candidates who have remained with previous employers for approximately two years or more. • A genuine interest in establishing a long-term career within our business and growing alongside the team. • Stable work-from-home setup (reliable internet, laptop or desktop, quiet workspace), able to work Australian business hours.
