About the Client
Our client is an established, product-driven lifestyle brand that designs and manufactures its own accessories, sold both direct-to-consumer and through more than 1,000 retail partners. They work with a global network of suppliers and manufacturers — primarily based in China and India — to bring new products from concept through production and delivery. As a fast-growing company with an active product pipeline, they rely on tight, proactive coordination between procurement, suppliers, and finance to keep every order on track.

Why does this role exist?
With dozens of active purchase orders and projects moving through development, production, and delivery at any given time, the client needs a dedicated coordinator who can own the day-to-day communication with suppliers and keep every order moving without things slipping through the cracks. This role exists to be the connective tissue between suppliers, the project board, and finance — proactively chasing down status updates, resolving blockers, and making sure payments and timelines stay accurate. The company needs someone who can be trusted to make judgment calls independently and knows exactly when to escalate versus when to handle something themselves. without needing step-by-step direction.

The Impact you’ll make

Supplier Communication & Coordination
  • Maintain regular communication with suppliers via WeChat and email on production timelines, order status, delays, and issue resolution
  • Ask specific, relevant follow-up questions rather than sending generic status requests
  • Recognize workflow indicators and determine whether a task should move to production, procurement, or another stage
Purchase Order & Payment Tracking
  • Follow up on approximately 5–15 active purchase orders per supplier each week
  • Track supplier deposits, balance payments, payment schedules, and due dates
  • Coordinate with the finance team to ensure suppliers are paid on time and for the correct amounts
  • Potentially create or edit purchase orders directly after sufficient training
Project & Production Monitoring
  • Monitor projects from development through production and delivery
  • Monitor the project board to understand active tasks, assignees, priorities, deadlines, and status
  • Review task activity and determine the appropriate next step based on project context
  • Accurately identify task owners, assignees, and due dates before requesting updates
Systems & Data Management
  • Update the company's PMS, PLM, ERP, ClickUp, spreadsheets, and inventory management system with accurate supplier and project information
  • Update or trigger the appropriate project and task statuses across systems
Escalation & Reporting
  • Proactively identify delayed projects, missing information, unresolved issues, or blockers
  • Escalate significant issues or delays to the appropriate decision-maker
  • Provide a clear, concise daily summary each morning

Skills, Knowledge and Expertise

Required:
  • Previous experience in procurement, supply chain, manufacturing, supplier coordination, or product operations
  • Direct experience working with suppliers or manufacturers
  • Baseline understanding of product manufacturing flow and production processes
  • Familiarity with purchase orders, supplier payment terms, deposits, balances, and production timelines

  • Technical:
    • Comfort managing multiple active purchase orders and projects simultaneously without losing track of details
    • Working knowledge of ERP/PLM systems, PMS platforms, ClickUp, and spreadsheets for tracking supplier and project data
    • Strong written communication skills tailored for WeChat and email with overseas suppliers
    • A plus: experience working with international suppliers

  • Soft Skills:
    • Sharp attention to detail and organizational discipline — nothing slips through the cracks
    • Proactive follow-up instinct — you chase answers before they become problems
    • Sound judgment in distinguishing what to handle independently versus what to escalate
    • Ability to synthesize complex, moving project information into a clear, concise daily report
WFH Set-Up:
  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS
  • Headset with an extended mic that has noise cancellation and a webcam
  • Back-up computer and internet connection
  • Quiet, dedicated workspace at home
