Role Overview:

Down Syndrome Sligo supports 65+ families across the county and provides a growing programme of activities, supports and opportunities for children, young people and adults with Down syndrome and their families.

We are seeking a part-time Branch Administrator to provide practical administrative support to the Branch Coordinator and Branch Committee.

The role will help ensure the smooth day-to-day administration of the branch while freeing up the Branch Coordinator to focus more time on programme development, partnerships, funding opportunities and the continued development of supports for members.

Key Responsibilities

The Branch Administrator will provide administrative and organisational support across the day-to-day activities of the branch.

Responsibilities will include:

  • Managing routine branch emails, correspondence and general enquiries
  • Supporting communications with members and families
  • Maintaining accurate member, activity and administrative records
  • Supporting registrations and bookings for branch activities and programmes
  • Preparing attendance lists and supporting basic programme administration
  • Assisting with venue bookings, schedules and activity coordination
  • Maintaining branch files, records and documentation
  • Supporting invoicing, receipts and general financial administration
  • Providing administrative support for committee meetings, including preparation and circulation of relevant documentation
  • Scheduling and sharing agreed social media posts and branch updates
  • Assisting the Branch Coordinator with grant applications, supporting documentation and reporting as required
  • Providing administrative support for branch events, programmes and activities
  • Carrying out other reasonable administrative duties required to support the effective running of the branch

Person Specification

We are looking for someone who is organised, reliable and comfortable managing a varied administrative workload.

Essential

  • Previous experience in an administrative, office support or similar role
  • Strong organisational and time management skills
  • Good written and verbal communication skills
  • Good attention to detail and accuracy
  • Confidence using email, Microsoft Office and general administrative systems
  • Ability to maintain accurate records and documentation
  • Ability to organise workload and manage priorities effectively within limited weekly hours
  • Ability to work independently while also working closely with the Branch Coordinator and committee
  • Professional and respectful approach when communicating with members, families, volunteers and external organisations
  • Good judgement and an understanding of the importance of confidentiality
  • Flexibility and willingness to support a varied range of administrative tasks

Desirable

  • Experience working in a community, voluntary, charity or not-for-profit organisation
  • Experience supporting events, activities or programmes
  • Experience with basic financial administration including invoices, receipts or expense records
  • Experience scheduling or managing social media content
  • Experience assisting with grant applications, funding administration or reporting
  • Experience supporting committees or preparing meeting documentation
  • Familiarity with databases, membership systems or online booking systems
  • An understanding of the work of Down Syndrome Ireland
