Business Assistant

Key Responsibilities
As a Business Assistant, you will provide comprehensive organisational, administrative and secretarial support to Partners and fee earners across two busy practice areas. You will be a key member of the team, helping to ensure the smooth running of client matters, supporting billing processes, coordinating events and training, and maintaining the high standards of service for which we are known.
This is a varied and rewarding position that offers exposure to a broad range of legal work and the opportunity to work closely with colleagues across the business.
- Attending to clients and providing support in a professional, sensitive and friendly manner in keeping with Collas Crill's standards for client care
- Making appointments, arranging meetings and booking meeting rooms;
- Arranging business trips/travel for fee earners as necessary.
- Accurately producing documents (including generating letters and emails, engagement letters and amending documents drafted by fee earners) in house style and on brand;
- Administration for the team, including scanning, filing, document retrieval, copying and processing expenses.
- Completing expense claims and updating budget sheet;
- Arranging for third party disbursements to be added to matters as they come in and preparation of payment instruction.
- Arranging for anticipated disbursements to be added to matters and ensure they appear on the final invoice.
- Raising WIP lists for fee earners to review ahead of billing.
- Raising invoice guides and liaise with fee earners as to how they want the WIP billed.
- Ensuring that WIP to be written off is actioned.
- Ensuring the billing cut off times are met and invoices have been approved by the relevant partner ahead of the deadline.
- Raising invoices (ensuring billing contact and address is correct), and ensuring all invoices are finalised and emailed out to the client within 24 hours in accordance with the Collas Crill's policy.
- Organisation of training sessions for trainee solicitors and paralegals, liaising with Knowledge Management team, internal trainers, and training session attendees.
- Working with the Partners and BD&M team in the planning of client events.
- Providing guidance for new and temporary Business Assistants as required.
- Providing support to other Business Assistants and departments as required
- Keeping the team's CPD records up to date.
Skills, Knowledge and Expertise
To succeed in this role, you will be:
- Experienced in a similar administrative, secretarial or business support role.
- Highly organised with excellent attention to detail and accuracy.
- Confident and professional when dealing with clients and colleagues.
- Able to prioritise effectively and work under pressure to meet deadlines.
- Flexible, adaptable and capable of using your own initiative.
- A strong communicator with excellent interpersonal skills.
- Proficient in Microsoft Word and Excel.
- A team player who enjoys working collaboratively and delivering exceptional service.
Desirable Experience
While not essential, the following would be advantageous:
- Previous experience working within a law firm or professional services environment.
- Secretarial qualifications or training.
