This role is ideal for someone who enjoys connecting with people, keeping projects and communications organized, tracking financial information, and providing executive-level administrative support to help build the systems and relationships that support a growing business.
- Research prospective clients, industry contacts, and new business opportunities.
- Provide executive administrative support, including calendar management, meeting scheduling, agenda preparation, follow-ups, and document organization.
- Support lead generation, outreach, meeting coordination, and client follow-ups.
- Maintain organized contact databases, prospect lists, and business development records.
- Assist with pitch decks, proposals, presentations, and client-facing materials.
- Support financial tracking by maintaining expense records, updating budget spreadsheets, organizing invoices, monitoring payment statuses, and preparing basic financial summaries.
- Help track business development expenses, project-related costs, and other financial information to support informed decision-making.
- Coordinate with internal teams to support new business opportunities and studio growth.
- 1-3 years of experience in business development, sales coordination, executive administration, or a related role.
- Strong organizational, communication, and interpersonal skills.
- A confident communicator who enjoys building relationships and isn’t afraid to pick up the phone.
- Proficiency with Google Workspace, including Gmail, Docs, Sheets, Slides, and Calendar.
- A proactive, detail-oriented approach to research, outreach, and relationship building.
- Basic financial literacy, with the ability to track expenses, monitor budgets, maintain financial records, and organize invoices and payment information.
- Strong administrative skills, including calendar management, meeting coordination, document preparation, and executive support.
- Ability to manage multiple priorities, handle confidential information professionally, and work independently in a fast-paced startup environment.
- Interest in business development, financial tracking, and the creative production industry.
- Experience with CRM platforms such as HubSpot, Salesforce, or Pipedrive or similar types of systems.
- Background in business development, sales coordination, account management, executive administration, or client services.
- Experience with expense tracking, budget administration, invoicing, or basic financial reporting.
- Familiarity with VFX, film, television, advertising, or creative production.
- Experience preparing pitches, proposals, business presentations, or executive reports.
- Interest in emerging technologies and AI-driven creative workflows.
