Chief of Staff (Integrator)

Part-time (0.5 FTE, about 20 hours per week) | Remote | Reports to: Chief Executive Officer

About UNDIVIDED

UNDIVIDED is a Christian faith-based organization committed to building meaningful impact through community-centered work, relationship-driven engagement, cultivating spaces of belonging, and moving people into redemptive action for healing and justice in their communities. How we work together is shaped by the UNDIVIDED Way: Open Hands, Linked Arms, Hopeful Hearts, and Bold Steps.

Position Summary

The Chief of Staff turns the CEO's vision into an operating rhythm the organization can count on. In the Visionary and Integrator model, the CEO sets direction and the Chief of Staff makes it happen: running the Executive Leadership Team (ELT), holding shared services to a clear standard, and developing leaders.

This is a part-time, remote role, so it is built around a small number of priorities fully kept rather than everything at once. The Chief of Staff does not run the shared-service functions day to day. The Operations Director and team deliver them; the Chief of Staff sets standards, removes blockers and holds accountability.

The ideal candidate is a systems thinker and people developer who brings order to complexity, builds trust across teams, and leads in a way that makes UNDIVIDED's Postures visible.

Role at a Glance

  • Reports to: CEO
  • Direct report: Operations Director
  • Works with (no reporting line): ELT members, who report to the CEO and are accountable to the Chief of Staff for ELT commitments, priorities and follow-through
  • Time allocation (guide): ELT leadership and Integrator work about 40% · Shared services oversight about 35% · Coaching and leader development about 25%
  • Decides: ELT meeting agendas and cadence; tracking of priorities and KPIs; shared-service standards and process changes; Operations Director goals and performance
  • Recommends to the CEO: Annual priorities and budget; changes to roles, structure or headcount; policy changes; spending above the CEO-approved limit
  • Escalates: Legal and compliance risk (to counsel, with the CEO); complaints of harassment, discrimination or policy violations (to HR or the Board-designated channel)

What this role is not. It is not the HR complaint channel, legal counsel or the day-to-day payroll or finance processor. When a conflict involves a complaint or possible policy violation, the Chief of Staff routes it to HR or the Board-designated channel rather than resolving it informally.

Key Responsibilities

1. Lead the Executive Team as Integrator (about 40%)

  • Translate the CEO's vision into a small set of quarterly priorities, each with one owner, a measure and a due date.
  • Run ELT meetings: set agendas, facilitate decisions, keep a decision log and follow up on commitments.
  • Maintain the organizational KPI scorecard, review it with the ELT, and recommend changes in priorities based on the data.
  • Align initiatives across teams and surface dependencies and capacity limits before they become conflicts.
  • Serve as a trusted advisor to the CEO, and make sure staff understand ELT decisions and have a way to share their perspective.

2. Hold shared services to a clear standard (about 35%)

The Operations Director and team deliver these services. The Chief of Staff sets standards, removes blockers and holds accountability.

  • People: oversee onboarding, training and development, and the performance cycle, partnering with HR on people policies and employee relations.
  • Operational systems and IT: set expectations for data management, systems and measuring organizational outcomes.
  • Finance and payroll: oversee the budget process, monthly financial reporting and payroll accuracy, and recommend budget decisions to the CEO.
  • Legal and compliance: coordinate with outside counsel, keep a compliance calendar, and flag risk in key decisions to the CEO.
  • Improve processes so shared services are reliable, documented and ready to scale.

3. Coach and develop leaders (about 25%)

  • Supervise and coach the Operations Director, with written goals and regular one-on-ones.
  • Coach ELT members on their goals, growth and follow-through, in partnership with the CEO.
  • Facilitate healthy conflict and repair across teams, and route complaints or possible policy violations to HR or the Board-designated channel.

How We Lead: The UNDIVIDED Way

Our Postures define our culture, and leaders define and protect it. The Chief of Staff is expected to model them in every part of this role.

Open Hands

What it means at UNDIVIDED: Approaching conversations without defensiveness or tight fists, ready to listen and learn.

What it looks like in this role:

  • Seeks input before decisions and explains the reasons behind them.
  • Receives feedback and disagreement without defensiveness.
  • Holds authority loosely, serving the CEO's vision rather than competing with it, and credits others' contributions by name.

Linked Arms

What it means at UNDIVIDED: Committing to solidarity, mutual accountability and community cohesion.

What it looks like in this role:

  • Runs the ELT on mutual accountability: clear owners, visible commitments, follow-through.
  • Connects teams and makes dependencies visible.
  • Bridges the CEO and staff, and seeks repair when relationships strain.

Hopeful Hearts

What it means at UNDIVIDED: Staying anchored in the belief of a mutually flourishing world.

What it looks like in this role:

  • Stays steady in ambiguity.
  • Coaches leaders toward growth rather than blame.
  • Keeps active priorities few enough to finish, and models a pace where people and the organization can flourish.

Bold Steps

What it means at UNDIVIDED: Moving forward with courageous love to take actions that bring substantive change.

What it looks like in this role:

  • Names risks and off-track work early, with care.
  • Makes and drives decisions.
  • Fixes broken systems instead of working around them, so the mission moves forward in substance, not just activity.

Success Profile

Performance is assessed on both WHAT (results) and HOW (the Postures), through ongoing feedback, quarterly check-ins with the CEO and an annual review. Success in this role looks like:

  • A working ELT operating rhythm, with clear quarterly priorities, a live KPI scorecard and decisions that close on time with a clear owner.
  • Reliable, documented shared services that support the organization and are ready to scale.
  • A strong Operations Director and an ELT whose members are growing in their goals and follow-through.
  • Staff who understand where the organization is headed and how decisions are made.
  • A trusted partnership with the CEO, and a leadership presence that makes the Postures visible.

  • Paid time off and paid holidays (not prorated for part-time staff).
  • Professional development opportunities.

Work Environment

Part-time and remote, about 20 hours per week, using standard computer, phone and video tools. Attendance at two annual staff retreats is required, along with occasional in-person meetings or events. Occasional evening flexibility may be needed.
