Job Title: Client Operations Coordinator

Monthly Pay: $3,882 - $5,558 USD per month

Summary:

Clear handoffs and accurate updates help clients receive dependable service without losing track of their requests. This temporary Client Operations Coordinator position organizes incoming requests, tracks service tasks, and keeps next steps visible across the client operations team. Working under an operations team lead, the coordinator partners with client contacts, service delivery colleagues, and internal task owners to resolve missing information and maintain progress. This fully remote position lets you work from home in Arizona, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Review incoming client emails and shared request queues, identify the requested service, and organize each item by urgency, owner, and next action.
  • Check request details against existing client information, confirm service requirements, and ask the client for missing instructions before arranging internal work.
  • Update client contacts and request histories in a CRM such as Microsoft Dynamics 365, keeping information accurate and accessible to authorized colleagues.
  • Organize service tasks in a project management system such as monday.com, assigning agreed owners, tracking dependencies, and maintaining current target completion dates.
  • Coordinate handoffs between client contacts and service delivery colleagues, confirming that each receiving owner understands the request and the expected next step.
  • Monitor open tasks, follow up with owners when updates are due, and flag delays that could affect the client's expected service timeline.
  • Send clear progress updates to clients, explain outstanding questions, and confirm revised expectations with the operations team lead when priorities change.
  • Escalate unresolved requests, conflicting instructions, or missed handoffs to the operations team lead, summarizing previous actions and the specific decision needed.
  • Confirm completed work with the responsible colleague, communicate the outcome to the client, and close tasks only after required follow-up is complete.
  • Maintain concise handoff summaries and recurring status reports; quality is judged through accuracy, turnaround, complete notes, and dependable follow-up throughout each request.

Qualifications:

  • High school diploma or equivalent.
  • About 1-2 years of experience in client operations, service coordination, or administrative operations is preferred.
  • Understanding of service request workflows, internal handoffs, task ownership, and the importance of keeping client expectations aligned with actual progress.
  • Familiarity with CRM and project management systems, including updating contact details, organizing tasks, checking histories, and maintaining useful activity notes.
  • Ability to compare incoming instructions with existing information, recognize missing details, and seek clarification rather than make unsupported assumptions.
  • Clear written and verbal communication for client updates, internal handoffs, follow-up questions, and concise explanations of outstanding issues.
  • Ability to organize competing requests, track dependencies, and bring priority conflicts to the team lead before commitments are affected.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from home in Arizona, supporting client operations through desk-based coordination and online communication.
  • Structured onboarding and training on the named CRM and project management systems, including request tracking and handoff procedures.
  • Regular check-ins with the team lead to review priorities, discuss obstacles, and receive practical feedback on completed work.
  • Opportunities to build service request coordination, client communication, progress reporting, and cross-functional handoff skills through everyday responsibilities.
  • Health coverage, paid leave, a 401(k), maternity leave, and bonus opportunities.
