JOB TITLE: Product Management Senior Specialist
TYPE OF CONTRACT: Regular Consultant Level 2
UNIT/DIVISION: Workplace Service Team / Foundational Technology Branch
(TECM), IT Division (TEC)
DUTY STATION (City, Country): Remote work
DURATION: 11 months
BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Under the overall direction of the Chief of Foundational Technology Branch (TECM), and reporting
directly to the Workplace Services Lead, the Product Management Senior Specialist will engage in
coordinating activities within the Collaboration & Productivity Team and with the different partners,
taking charge of all products that are part of the package and covering the support and management
of all corporate platforms. The incumbent will coordinate the support to be given to users from the
adoption phase to the continuous service improvement of all products. As part of the Collaboration &
Productivity Team, the Product Management Senior Specialist will also be involved in initiatives aiming
at improving workflows, trainings and support models and will manage all relations with external
teams and partners as the main interface.
ACCOUNTABILITIES/RESPONSIBILITIES:
1. Serve as senior technical expert for the Office 365 and DocuSign Platforms.
2. In coordination with the Workplace Services Lead, oversee and coordinate activities carried out
by the different team members on the different products to make sure there is alignment in
the approach and that internal communication within the team is continuously maintained.
3. Present and market the product adoption model and concept for its application to a variety of
business cases and projects.
4. Manage and organize the work of other team members for the workstreams he is directly
responsible for, such as the MS365 and DocuSign, to ensure that support meets the
high-level standards of the team.
5. Guide the team in understanding new solutions and acquiring the necessary technical
knowledge to support them, following the product services model and in line with the customer
excellence principles.
6. Report issues for escalation when required and address critical aspects and identify
opportunities for the product services model.
7. Lead the continuous improvement for the solutions he is the main focal point of, by identifying
the opportunities for growth and the release of more advanced features.
8. Continuously improve guidelines, processes, and procedures for accountable workstreams.
9. Coordinate team activities, administration, and performance management.
10. Perform other duties as required.
DELIVERABLES AT THE END OF THE CONTRACT:
1. Align corporate vision and strategy to the Product adoption framework and existing landscape of
corporate products within MS365 and DocuSign landscape.
2. To be able to manage different products with different maturity levels by harmonizing the
support models and evolution of each product within the Product Management framework
3. Guide Product managers in different functional and product streams to deliver the expected
added value for the community of our users while contributing to the maturity of Knowledge
Management and Product Management frameworks
4. Process standardization across the Product adoption framework to optimize the resources
allocation and the added value of the support given to each product.
5. Report on a weekly basis, on product support and adoption tasks and activities.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: Degree in Social Sciences, Information Technology, Communications, or related field.
Experience: At least 6-years of professional experience in project management related activities,
and team coordination.
Knowledge & Skills:
• IT background and experience in giving support to users for the adoption of
products that the Technology Division is providing
• Familiarity with IT tools and services that are managed and supported by
Technology Division
• Knowledge Management background and analytical skills to identify and map
technological needs
• Ability to collect feedback from users and translate them in opportunities for
the Continual Service Improvement (CSI). Working experience with tools and
standards for the support and adoption processes
• Experience in managing business expectations and in coordinating different
teams. Analyse and assess requests, provide prompt solutions and interface
for resolving issues
• Ability to work in a fast paced, challenging, team-oriented environment
• Analytical skills and proactivity
• Inter-personal and problem-solving skills. Self-resourceful and proactive
• Outstanding written and verbal communication skills in English to clearly
communicate with management and the business
• Ability to consult with users’ community in a friendly and effective way, with
a special focus and attention to the field
• Strong organizational skills and time management, diplomatic approach in
the interaction with users
Languages: Fluency in oral and written English with an intermediate knowledge of another official
UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of
WFP’s working languages) is desirable.
