MALT - Coordinator, Development
MALT is a nonprofit land trust created in 1980 by a coalition of ranchers and environmentalists to permanently protect Marin County farmland. Some of the Bay Area’s most highly acclaimed dairy and cheese products, grass-fed meats, and organic crops are produced on farmland protected by MALT’s 99 agricultural conservation easements.
As an innovative agricultural land trust, MALT operates at the intersection of agriculture and conservation. Our mission is to permanently protect Marin County’s agricultural land for agricultural use. Our commitment is to the long-term health of the land itself, as well as to the farmers and ranchers who work on the land. The Development Coordinator will be part of a dynamic team working to permanently protect Marin’s agricultural land for agricultural use in ways that benefit healthy communities, clean water and air, diverse habitats, sustainable and regenerative agriculture, and climate resiliency.
MALT has permanently protected over 59,028 acres of West Marin’s diverse mosaic of coastal grasslands, oak woodlands, rangelands, and pastoral open space. MALT is committed to supporting sustainable management, climate-beneficial and regenerative agriculture in Marin County, including farming and grazing practices that rebuild soil organic matter and improve soil biodiversity to draw down carbon and improve the water cycle.
We welcome people of all backgrounds, identities, and beliefs to join us in achieving our mission to permanently protect Marin’s agricultural land for agricultural use. MALT is committed to a diverse, equitable, and inclusive workplace in which everyone is welcomed, valued, and supported. We are a team that works together to achieve our goals. We recognize that diverse teams make the strongest teams and encourage people from all backgrounds to apply.
We invite you to join the MALT team—a dynamic and passionate staff who care deeply about our mission and one another.
THE POSITION
The Development Coordinator supports the Data Services Senior Manager in keeping MALT's donor database, BlackBaud Raiser’s Edge (NXT/RE), accurate and complete, and everything in this role connects back to it. Every gift, acknowledgment, RSVP, waiver, and contact is captured and coded in the database by the Coordinator so that MALT has a reliable and consistently maintained picture of its relationships. The Coordinator processes and acknowledges gifts for MALT's 3,000+ annual donors, using AI-assisted workflows to improve accuracy, speed, and insight, and supports the data and communications side of MALT events, from email invitations, RSVPs, and waivers to attendee research and new donor acquisition. We're looking for someone who goes beyond implementation: a critical thinker and problem solver who notices patterns, asks "why," and brings what they see in the data to the Data Services Manager and the broader team. The Development Coordinator spends roughly half their time on gift processing and fundraising operations and half on event communications and related tracking, and reports to the Data Services Manager.
ABOUT YOU
- AA or Bachelor's degree with a minimum of 2 years' experience in an administrative, database, or similar environment, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job.
- Database experience, preferably in NXT/RE, with an understanding of why clean, consistent data matters; gift processing experience a strong plus.
- A database-minded approach: naturally thinks about how each gift, interaction, and event will be captured and coded, and follows established data standards.
- Comfort with, and curiosity about, AI tools (e.g., Claude) to streamline and check database work, along with the judgment to review AI output critically rather than accept it at face value.
- A natural problem solver who spots data discrepancies, digs into what's behind them, and brings issues and ideas for improvement to the Data Services Manager.
- Critical thinking: able to see the bigger picture, make connections across data, people, and programs, and bring forward insights, not just complete tasks.
- Detail oriented and able to prioritize work, set and meet deadlines.
- Proficiency in Google Workspace, including spreadsheets for data preparation; experience with mass marketing communications and event tools a plus (e.g., Mailchimp).
- Strong interpersonal, service-oriented, and proactive communication skills.
- Collaborative team player who can handle multiple simultaneous responsibilities.
- Establishes and maintains cooperative working relations inside and outside of MALT.
- Commitment to MALT’s mission and vision.
- Sensitivity to, and respect for, diversity, equity, and inclusion.

- Processes all gifts (checks, credit cards, EFT, online, and recurring gifts) into NXT/RE accurately and on time, with correct coding for funds, campaigns, appeals, and packages, following policies and procedures set by the Data Services Manager.
- Uses AI-assisted workflows (e.g., Claude) to review gift batches and records, flagging errors, duplicates, inconsistencies, and patterns that manual review might miss, and works with the Data Services Manager to resolve them.
- Prepares data files for import into NXT/RE, using AI tools to clean, format, deduplicate, and validate them, and runs imports in coordination with the Data Services Manager.
- Produces timely, personalized acknowledgment letters drawn from database records, using AI to draft and tailor letters by gift type, donor history, and giving level for staff review, and records each acknowledgment in NXT/RE.

- Supports the Data Services Manager in maintaining accurate, complete constituent records, including updating contact information and processing returned mail.
- Collaboratively and persistently problem-solves with the team to ensure accuracy and timeliness of data, raising trends or questions that may inform fundraising strategy.

- Manages event lists using the database, pulls invitation lists, tracks registrations and attendance, and produces check-in lists and name tags from database records.
- Serves as MALT's go-to resource on event waivers, tracking receipt of liability waivers and other required information in the database and answering staff and participant questions about requirements and process.
- Conducts research on event attendees, drawing on database history to prepare briefings so staff know who is in the room, their relationship to MALT, and opportunities for engagement, and records findings in NXT/RE.
- Supports donor acquisition via events by identifying new attendees, entering and coding them in the database, and helping move them into appropriate follow-up and cultivation.
- Builds and deploys event emails, including invitations, registration confirmations, logistics, reminders, and thank yous, using lists drawn from the database.
- Maintains the primary public development email account and phone line for event inquiries, updating constituent records as information comes in.
- Assists in maintaining volunteer data in NXT/RE.
