Position Overview
We are seeking a highly organized, detail-oriented, and dependable
Data Entry Clerk Specialist to join our remote team. The successful candidate will be responsible for accurately entering, updating, verifying, organizing, and maintaining company information and records across various databases, spreadsheets, and internal systems.
This position is ideal for someone who has excellent attention to detail, strong computer skills, and the ability to work independently while meeting established deadlines. The Data Entry Clerk Specialist will handle confidential information and play an important role in ensuring that company records remain accurate, complete, current, and easily accessible.
Because this is a remote position, the ideal candidate must be self-motivated, comfortable working independently, and able to communicate effectively with colleagues through digital communication and collaboration tools.
Key Responsibilities
- Accurately enter and update information into databases, spreadsheets, CRM systems, ERP platforms, and other company software.
- Review source documents and verify information before entering data into internal systems.
- Identify and correct data entry errors, inconsistencies, duplicate records, and missing information.
- Maintain accurate electronic records and ensure information is properly categorized and organized.
- Perform regular data audits and quality-control checks to ensure accuracy and completeness.
- Compare entered information against original documents and other sources to verify accuracy.
- Process large volumes of data while maintaining a high level of accuracy and consistency.
- Update existing customer, employee, vendor, inventory, financial, or operational records as required.
- Convert information from paper documents, PDFs, emails, forms, and other sources into digital records.
- Organize and maintain electronic files according to company policies and naming conventions.
- Retrieve and provide requested information or reports when needed by authorized team members.
- Assist with data cleanup, database maintenance, and information-management projects.
- Track completed work and maintain productivity records or status reports as required.
- Communicate with relevant departments to clarify incomplete, inconsistent, or inaccurate information.
- Follow established procedures for handling sensitive and confidential information.
- Maintain strict confidentiality when working with customer, employee, financial, business, or proprietary data.
- Assist with administrative tasks and special data-related projects as assigned.
- Meet established productivity, accuracy, quality, and turnaround-time standards.
- Report recurring data issues, system problems, or discrepancies to the appropriate supervisor.
- Follow all company policies, security procedures, and data-protection requirements.
