Position Overview

We are seeking a reliable and detail-oriented Data Entry Specialist to join our remote team. This entry-level role is responsible for entering, updating, reviewing, and maintaining information across databases, spreadsheets, and internal systems.

The ideal candidate is organized, accurate, comfortable using computers, and able to complete routine assignments independently.

Previous professional experience is not required. Training and guidance will be provided. Recent graduates, career changers, individuals returning to the workforce, and candidates seeking their first remote position are encouraged to apply.

Key Responsibilities

Data Entry & Processing

  • Enter and update information in databases, spreadsheets, and company systems.
  • Transfer data from approved documents and forms.
  • Review entries for accuracy and completeness.
  • Update existing records with current information.
  • Process routine data-entry requests.
  • Identify missing, duplicate, or incorrect information.
  • Make authorized corrections.
  • Complete assignments within established deadlines.

Data Verification & Quality Control

  • Compare entered information with source documents.
  • Perform routine accuracy and completeness checks.
  • Identify inconsistencies and data errors.
  • Verify information according to established procedures.
  • Flag unresolved discrepancies for additional review.
  • Help maintain accurate and reliable company records.

Records & Document Management

  • Maintain organized electronic records.
  • Upload, label, categorize, and archive documents.
  • Follow file-naming and storage procedures.
  • Maintain basic tracking logs and indexes.
  • Retrieve authorized records when requested.
  • Protect confidential and sensitive information.

Administrative Support

  • Prepare and update spreadsheets, trackers, forms, and lists.
  • Process routine administrative requests.
  • Organize shared folders and digital resources.
  • Route documents to appropriate team members.
  • Update task and processing trackers.
  • Assist with additional clerical projects as assigned.

Communication & Team Support

  • Communicate professionally through email, chat, and virtual meetings.
  • Respond to routine internal requests.
  • Provide status updates on assigned work.
  • Ask for clarification when information is incomplete.
  • Coordinate with team members regarding data discrepancies.
  • Participate in virtual meetings and training sessions.

Required Qualifications

  • High school diploma, GED, or equivalent.
  • Basic computer and typing proficiency.
  • Familiarity with email, spreadsheets, web browsers, and digital documents.
  • Strong attention to detail and accuracy.
  • Good organization and time-management skills.
  • Ability to follow written instructions and procedures.
  • Ability to perform repetitive tasks accurately.
  • Effective written and verbal communication skills.

Professional experience is not required. Familiarity with the following is helpful but not necessary:
