  • Based in the exciting city of Parramatta, with hybrid working supported
  • Salary relative to experience, and ranges from $116,981 up to $129,492 pa plus super

We are seeking an experienced and proactive Divisional Administration Officer to deliver high-quality business support services across the Division. Working closely with the Senior Divisional Coordinator, Project Officer and divisional leadership team, you will support the delivery of administrative operations and business services in a complex and fast-paced environment. The role also provides coordination support for executive, ministerial and parliamentary requests as required.

As Divisional Administration Officer, you will play a pivotal role in supporting the Executive and broader Division through the delivery of critical administrative and operational services. Working as part of a high-performing business support team, you will coordinate and deliver services across finance, procurement, human resources, travel, asset management, events and general administration.

You will work closely with divisional leaders and key business support partners to ensure services are delivered efficiently, compliantly and in line with business priorities. You will also identify opportunities to improve systems, processes and service delivery to support continuous improvement across the Division.

The role includes supervision and development of one direct report, providing day-to-day guidance, coaching and support to ensure the delivery of high-quality administrative services and business support across the Division.

In this role, you will:

  • Deliver high-quality administrative and operational support services across the Division, ensuring work is prioritised and delivered in line with business needs.
  • Manage administrative and operational requests
  • Provide flexible support to the broader Office of the Executive Director and divisional leadership team during peak periods.
  • Work collaboratively with stakeholders to improve systems, processes and service delivery across the Division.

About You

You are a collaborative and highly organised administrator who enjoys improving business processes, solving problems and supporting the delivery of operational outcomes. You can manage competing priorities, build effective working relationships and foster a positive team culture while delivering high-quality business support in a dynamic environment.

You will bring:

  • Demonstrated experience leading administrative, business support or corporate services requirements.
  • Strong organisational skills with the ability to manage multiple priorities and competing deadlines.
  • Sound knowledge of finance, procurement, human resources and business support functions.

Essential Requirements

  • Knowledge and experience working in a fast paced and high-volume environment, including a proven capacity to support senior level staff in the management of projects and issues.
  • Experience in office administration including computer-based systems and tools, and financial management procedures, policies and practices.
