Title: DSP-CPT-11512 Recruiting & Candidate Coordination Virtual Assistant

Independent Contractor – DSP-CPT-11512 Recruiting & Candidate Coordination Virtual Assistant/Business Support VA/Junior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A growing logistics company is seeking a Recruiting & Candidate Coordination Virtual Assistant to support its driver recruiting process.

The VA will work across the company's recruiting platforms to organize applicants, review and screen candidates, schedule qualified applicants for interviews, maintain recruiting spreadsheets, and send interview and follow-up communications.

The client has an existing recruiter who will assist with training the VA on the company's established recruiting processes and systems during the transition.

From October 15 through December 15, the VA will work 40 hours per week and will also need to work approximately 3 hours on either Saturday or Sunday. The VA may choose which weekend day to work; only one weekend day is required.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

Scope of Services

Contractors will be required to provide services that align with the following client tasks:

Applicant Management & Screening

  • Download and organize resumes from Indeed, SmartRecruiters, and other recruiting sources
  • Enter applicant information into ApplicantStacker
  • Review applicants against client-provided screening criteria
  • Conduct initial candidate screening as trained
  • Identify candidates who meet established requirements
  • Maintain accurate candidate records throughout the recruiting process

Interview Coordination

  • Contact qualified candidates to schedule interviews
  • Send interview dates, times, locations, and instructions by text or other approved channels
  • Send additional candidate communications using established templates
  • Follow up with candidates when information or responses are outstanding
  • Keep interview schedules and candidate statuses current

Recruiting Pipeline & Data Management

  • Maintain the company's recruiting pipeline and spreadsheets
  • Enter and update applicant information accurately
  • Track candidates through each stage of the recruiting process
  • Maintain organized recruiting records in Google Sheets and OneDrive
  • Assist with recurring recruiting reports and trackers
  • Ensure applicant information remains accurate and current

    Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.


    Skills

    The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

    • Previous recruiting, HR, candidate coordination, or administrative experience strongly preferred
    • Strong spreadsheet experience required
    • Advanced Excel / Google Sheets skills strongly preferred
    • Strong written and verbal English communication
    • Experience scheduling and communicating with job candidates preferred
    • Applicant tracking system experience preferred
    • Logistics, transportation, or high-volume recruiting experience is a plus
    • Amazon DSP experience is a plus but not required

    • Strong recruiting or candidate-coordination skills
    • Comfortable communicating with job applicants
    • Strong spreadsheet and data-management ability
    • Able to follow established screening criteria
    • Consistent with candidate follow-up

    • Able to learn established workflows quickly

    Work Schedule

    • Contracted Hours per Week: 30 Hours (Starting October 15 through December 15, the VA will work 40 hours per week and will also need to work approximately 3 hours on either Saturday or Sunday. The VA may choose which weekend day to work. After December 15, the schedule will return to 30 hours per week)
    • Scheduled Working Days: Monday through Friday (unless otherwise mutually agreed in writing)
    • Daily Working Time: 8:00 AM – 2:00 PM EST

    Note: The Company will make reasonable efforts to align the Assigned VA’s schedule with the Client’s preferred hours as set forth above. However, availability may vary based on time zones, capacity, and the contracted hours set in this SOW. Any changes must be mutually agreed to in writing through a revised SOW.

    Terms of Engagement

    • Contractors will operate under a Master Services Agreement and a Statement of Work
    • This is not an offer of employment; contractors are not employees of 20four7VA or any client
    • All compensation is processed through 20four7VA according to the terms of the engagement
