This role as the Enrolment Officer, plays a crucial role at ECMS by ensuring quality and satisfaction across the enrolment process for both Sessional Kinder and Long Day Care. This role is responsible for delivering exceptional customer service to families during the enrolment window and ensuring that every enrolment enquiry is optimised towards enrolling in one of ECMS’s quality services. This role works collaboratively with other Communications and Marketing team members to respond to enquiries, manage customer data and provide informed insights to the ECMS operations team for continuous service improvement. Key to the success of the role is also managing and supporting effective partnerships with providers and Councils.

This position is a full time ongoing role.

About you

  • 3+ years of enrolments experience at scale
  • 5+ customer service experience
  • Experience and confidence with enrolment, Customer Relationship Management and related systems.
  • Ability to engage with stakeholders in a friendly, positive manner
  • Ability to remain calm under pressure
  • A valid working with children check
  • Formal qualifications in Communications, Operations or related discipline (Desirable)
  • Experience in shaping and improving enrolment processes for sessional kindergarten and/or long day care (Desirable)

About the role

  • Deliver exceptional customer service and support to families and service leaders throughout the enrolment journey via phone, email, online platforms and meetings, ensuring a positive and seamless experience for new and returning families.
  • Build and maintain strong partnerships with local councils, service leaders, centre teams and external providers to support compliant, efficient and high-quality enrolment processes across ECMS services.
  • Support and continuously improve centralised enrolment systems, policies and procedures by identifying process improvements, troubleshooting issues and contributing to training and documentation for key stakeholders.
  • Accurately manage customer and enrolment data across CRM and child management systems, ensuring reporting requirements, funding guidelines and stakeholder information needs are met.
  • Contribute to enrolment reporting, pipeline tracking and cross-team collaboration, supporting organisational goals and delivering high-quality outcomes during peak enrolment periods.
  • Champion the ECMS feedback and complaints process, valuing customer feedback and identifying opportunities to enhance family experience and service delivery.
  • Use strong problem-solving, coordination and time management skills to work autonomously, meet deadlines and deliver solutions-focused outcomes in a fast-paced environment.
  • Apply excellent communication and interpersonal skills to build positive relationships with families, councils, service teams and stakeholders, adapting communication styles to meet individual needs.
  • Utilise reporting and data insights to support decision-making, improve enrolment processes and identify opportunities to enhance system usage and customer experience.
  • Bring a collaborative, team-focused approach with strong attention to detail and a commitment to continuous improvement and achieving organisational goals.
  • Demonstrate experience and knowledge in enrolment processes within sessional kindergarten and/or long day care settings, with relevant qualifications in Communications, Operations or a related discipline.
