Purpose of the Role
Business Support Administrator (Casual University Student Positions)
BGIS is seeking university students to provide casual administrative support across Finance, Facilities Management, Lease Administration, Governance, Reporting, and Information Management functions.
This role offers valuable industry experience and exposure to a broad range of business activities, including:
- Data entry, reporting and financial administration
- SharePoint and document management
- Records and information management
- Facilities and contractor administration
- Governance and compliance support
- Lease administration and business support activities
We are looking for students who are currently studying Business, Commerce, Finance, Property, Information Management, Governance, or a related discipline, with strong Microsoft Office skills, attention to detail, and a willingness to learn.

These newly created roles support a busy team working across a large Victorian government property portfolio. You'll work across several functions, learn from experienced colleagues, and make a real difference to the team's day-to-day work.
Key Responsibilities
- Transfer utility, rental, and financial data from invoices into Excel, and help with validation and reconciliation.
- Update reports, registers, trackers, and spreadsheets.
- Help with facilities and helpdesk administration, including following up contractors and updating work order registers.
- Set up and maintain SharePoint folder structures and move files and records across.
- Maintain governance registers, action logs, and meeting materials.
- Review, sort, and file documents within electronic data rooms.
- Help manage the Lease Administration inbox and keep lease records up to date.
- Provide general administrative support across Finance, Facilities, Governance, and Reporting teams.
Education, Experience & Skills
Essential:
- Currently studying Business, Commerce, Finance, Property, Information Management, Governance, or a related discipline.
- Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
- Strong attention to detail and a commitment to accuracy.
- Organised, dependable, and happy to learn new systems and processes.
- Clear and friendly communication skills.
Desirable:
- Previous administration, office support, or data entry experience.
- Familiarity with SharePoint or electronic document management.
- Interest in finance, property, governance, or facilities management.
- Experience maintaining records, registers, or spreadsheets.
Workplace Flexibility
These casual positions are based at our Melbourne Head Office in the CBD, close to public transport and local amenities. Once training is completed, there may be opportunities to work from home from time to time.
Across the 3–4 positions, there are approximately 32 hours of work available per week in total. Shifts are flexible and fall within core business hours, Monday to Friday, so this can fit around your study commitments.
