Job Description

This is a remote position.

Job Overview
Level Up Talent Solutions is looking for a Lean-Pro Event Operations Manager to support a growing U.S.-based events company that creates hyper-localized community experiences with local restaurants, vendors, and brand partners.
This role will help manage the planning and operational details of events from start to finish. The Event Operations Manager will oversee event timelines, vendor coordination, logistics, ticketing updates, internal communication, event materials, and task tracking to help ensure each event is organized, on schedule, and ready for successful execution.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple events, moving parts, vendors, and deadlines at once.

Responsibilities
  • Support and manage event planning and operational details from start to finish
  • Coordinate with vendors, partners, and internal team members to collect information, confirm requirements, and keep deadlines on track
  • Manage communication tracking for vendors, partners, outstanding items, confirmations, payments, COIs, logos, product commitments, and event requirements
  • Oversee event timelines, task lists, logistics, supplies, staffing notes, check-in preparation, and day-of readiness with the onsite team
  • Maintain event details, ticket information, pricing, FAQs, and related updates on the ticketing platform and website
  • Create, manage, and monitor Google Forms for vendor participation, volunteer sign-ups, feedback, confirmations, and other event needs
  • Keep the company’s event planning tool updated with event tasks, timelines, contacts, notes, and key information
  • Organize Google Drive folders, files, vendor documents, forms, logos, event materials, and promotional assets
  • Coordinate event materials such as passports, signage, vendor information, check-in materials, and other operational assets
  • Support customer service needs related to ticketing, event details, refunds, transfers, and participant questions
  • Maintain Google Calendar deadlines, meetings, vendor calls, reminders, and key event dates
  • Communicate with the internal team through Slack and provide updates on event progress, risks, deadlines, and changes
  • Identify potential delays, missing information, or operational issues and escalate them when needed
  • Support general administrative, research, data entry, and operations tasks that help keep events moving forward


Requirements

Qualifications
  • At least 1 year of experience in event operations, project management, operations coordination, event planning, virtual assistance, or a similar role
  • Strong English communication skills, both written and verbal
  • Comfortable communicating with vendors, customers, partners, and internal team members
  • Strong organizational skills with the ability to manage multiple events, timelines, vendors, and deadlines at once
  • Able to take ownership of tasks and follow through until completion
  • Comfortable working with Google Apps, including Gmail, Google Drive, Google Sheets, Google Forms, and Google Calendar
  • Experience using Slack or similar team communication platforms
  • Able to learn ticketing platforms, event planning tools, and proprietary systems quickly
  • Detail-oriented when managing event information, vendor requirements, ticketing details, and operational records
  • Proactive, resourceful, and comfortable problem-solving in a fast-moving environment
  • Able to work independently while keeping leadership and the team updated
Nice to Have
  • Experience in event planning, hospitality, restaurants, local businesses, sales, marketing, or community events
  • Experience using ticketing platforms similar to Eventbrite
  • Experience with Adobe Photoshop or Illustrator
  • Experience managing vendor communication, event timelines, supplies, staffing notes, or event execution checklists
