Executive Assistant

As an Executive Assistant supporting the Head of Capital Markets Technology, you'll play a critical role in enabling senior leadership effectiveness across a complex, fast-paced global organization. You'll serve as a strategic hub for planning, coordination, communication, and follow-through — ensuring that priorities are managed with precision and that every interaction reflects Nasdaq's high standards.

You'll thrive in this position if you're proactive, highly organized, and energized by working closely with senior leaders and diverse stakeholders across time zones and cultures.

Key Responsibilities

  • Manage a complex, global calendar across multiple time zones and stakeholder groups, anticipating needs and resolving conflicts proactively.
  • Coordinate meetings, re-prioritizations, and logistical activities to ensure seamless day-to-day operations.
  • Support weekly, monthly, and quarterly business planning cycles, ensuring deadlines and deliverables are on track.
  • Drive internal communications, including town halls and newsletters, to keep teams aligned and informed.
  • Coordinate organizational reporting and ensure timely consolidation of inputs from across the business.
  • Plan and execute client events, internal activities, and office visits at the Stockholm location, delivering a professional and welcoming experience.

Required Qualifications

  • Proven experience in an Executive Assistant or similar senior coordination role.
  • Exceptional organizational skills with the ability to manage competing priorities in a global environment.
  • Strong relationship-building skills with the confidence to navigate and influence across all levels of a large organization.
  • Self-driven and proactive, with a track record of taking ownership and delivering results with minimal direction.
  • Clear and professional communicator, fluent in both Swedish and English.

Preferred Qualifications

  • Experience supporting C-suite or senior leadership in a multinational or regulated industry.
  • Exposure to global teams and cross-cultural working environments.

This position will be located in Stockholm and offers the opportunity for a hybrid work environment, with most working days expected in-office
