We are looking for an experienced Executive Assistant to provide dedicated support to the CEO, CFO, and Co-Founder of a fast-growing Australian Quick Service Restaurant (QSR) business with more than 100 branches.


This is a hands-on, high-trust role supporting senior leaders across calendar and inbox management, board and meeting coordination, travel, stakeholder communication, finance-related administration, and confidential business matters.

The ideal candidate is proactive, highly organised, discreet, and confident working directly with senior executives in a fast-paced, multi-site environment.


Key Responsibilities

  • Manage calendars, scheduling requests, and competing priorities for the CEO, CFO, and Co-Founder.
  • Triage inboxes and prepare routine correspondence on behalf of senior leaders.
  • Coordinate management, strategy, and 1:1 meetings, including agendas, meeting materials, minutes, and follow-up actions.
  • Prepare and format board packs, financial reporting decks, and other executive materials.
  • Arrange end-to-end travel, itineraries, restaurant visits, and external meetings.
  • Act as a professional point of contact for internal and external stakeholders, franchise partners, vendors, and external advisors.
  • Support expenses, invoice processing, and other administrative activities.
  • Provide administrative and project support across finance, HR, and operations.
  • Handle sensitive commercial, financial, legal, and people-related information with strict confidentiality.
  • Proactively anticipate the needs of senior leaders and follow through on outstanding actions.


Qualifications

  • At least 3 years of experience as an Executive Assistant supporting C-suite or senior leadership.
  • Prior experience in a fast-paced, multi-site retail, hospitality, or Quick Service Restaurant (QSR) environment is required.
  • Experience supporting a CFO or Finance function is required.
  • Experience working with an Australian company or Australian leadership team is highly preferred.
  • Experience supporting multiple senior leaders or principals concurrently.
  • Strong written and verbal English communication skills.
  • Advanced proficiency in Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint.
  • Strong calendar management, scheduling, and prioritisation skills.
  • Demonstrated discretion in handling confidential financial, legal, and people-related information.
  • Proactive, confident, and comfortable communicating directly with senior leaders.
  • Able to provide specific examples of handling complex executive support situations and competing priorities.


What We're Looking For

We are looking for someone who can operate as a true executive partner rather than simply handling administrative tasks. You should be comfortable anticipating what senior leaders need, managing competing priorities, asking the right questions, and taking ownership of tasks from start to finish. Experience supporting CEOs, CFOs, and other senior executives in a fast-paced operational environment is highly valued.


Work Setup

  • Remote or Hybrid
  • Supporting an Australian leadership team
  • Core working hours must overlap with Sydney business hours (AEST/AEDT)
  • Flexibility may be required for early mornings, board cycles, month-end, travel periods, or occasional overtime
  • Reliable internet connection and a confidential home/office working environment required
